We are expanding — and we’re looking for a reliable, efficient, and proactive Administrative Assistant to support our daily operations and ensure smooth workflow across departments.
We are looking for a detail-oriented and responsible Administrative Assistant to coordinate and deliver both internal & external training programs, including webinars, workshops, skills gap analyses, and the annual training plan.
Key Responsibilities
Coordinate and manage training programs from planning, execution, to post-program completion.
Assist in planning training schedules, logistics, and operational requirements.
Liaise with government agencies, private organizations, industry partners, trainers, and participants.
Ensure all training activities are carried out according to approved timelines and quality standards.
Arrange training venues, accommodation, transportation, training equipment, and learning facilities.
Conduct site visits where necessary to evaluate training locations.
Coordinate trainer arrangements and ensure training materials are ready.
Screen, register, and communicate with training participants.
Prepare participants' kits, training documents, attendance lists, learning materials, and necessary allowances.
Handle HRD Corp-related matters (grant submission, claims, documentation)
Assist in MIEA CPD tracking and submission
Coordinate training programs (CIP, MasterSkill, CES, internal training)
Manage attendance, materials, and reporting
Ensure compliance with training requirements and documentation
Maintain proper filing system (digital & physical)
Prepare reports and tracking for management
Maintain training database and participants records.
Ensure SOP compliance and workflow efficiency
Diploma / Degree in Business Admin, HR, Training Management or related field
Fresh graduates are encouraged to apply
1–3 years of experience in admin/training coordination/property industry preferred
Experience working with government agencies, MIEA CPD or grant-funded (HRD Corp Claims) training programmes is an added advantage.
Having experience in conducting training or being a certified Train the Trainer is preferred.
Good communication skills (English + Mandarin preferred as these roles will require liaising with Mandarin-speaking clients and partners)
