Job Summary
We are seeking a proactive, organized, and reliable Personal Assistant to provide administrative and operational support to the Agency Manager. This role involves managing daily schedules, coordinating meetings and events, assisting with recruitment activities, supporting agency operations, and ensuring smooth day-to-day business functions. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and maintains a high level of professionalism and confidentiality.
Key Responsibilities
- Manage the Agency Manager's calendar, appointments, and daily schedule.
- Coordinate meetings, interviews, training sessions, and agency events.
- Handle phone calls, emails, and correspondence on behalf of the Agency Manager.
- Assist with recruitment by scheduling interviews, following up with candidates, and maintaining recruitment records.
- Prepare presentations, reports, meeting minutes, and business documents.
- Maintain and organize client, agent, and agency records.
- Liaise with internal departments, business partners, and agency members to ensure smooth communication.
- Assist in planning and organizing agency activities, seminars, workshops, and recognition events.
- Monitor administrative tasks, deadlines, and licensing or compliance documentation.
- Coordinate travel arrangements and accommodation when required.
- Assist with social media updates, marketing materials, and promotional campaigns.
- Handle confidential information with discretion and professionalism.
- Perform other administrative and ad hoc duties as assigned by the Agency Manager.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Management, Marketing, or a related field.
- Fresh graduates are encouraged to apply. Candidates with 1–3 years of experience as a Personal Assistant, Executive Assistant, or Administrative Assistant are an advantage.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Able to multitask and work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Professional, responsible, and able to maintain confidentiality.
- Experience in the insurance or financial services industry is an added advantage.
Pay: RM2,000.00 - RM3,000.00 per month
