About the Role
As Event Manager, you will take full ownership of assigned events from handover through to post-event close-out, coordinating internal teams, external suppliers, and clients to ensure flawless execution. Beyond catered events, you'll also coordinate our broader range of experiences — team building, cooking classes, in-house dinners, and more — always aiming for maximum customer satisfaction and repeat business.
Key Responsibilities
Pre-Event
- Receive project/event handover from the Sales team
- Liaise with the client's dedicated contact to review and confirm all event details, including meetings and site visits as needed
- Source, manage, and coordinate suppliers and vendors for the event
- Coordinate and communicate event orders and checklists with internal departments (kitchen, pastry, service teams)
- Identify and propose upsell opportunities across F&B items and services
On the Day
- Supervise the service team and act as the main point of contact for the client throughout the event
Post-Event
- Finalize the invoice (including added items and actual consumption) and issue it to the client
- Gather feedback and share insights with Sales and Marketing to support new business, refine client needs, and improve our offering
- Track payments with accounting team and client
Additional Responsibilities
- Expand and manage our equipment inventory (e.g., English tableware, personalized bottle stickers, barista coffee machines, custom macarons)
- Optimize our supplier/vendor list and negotiate terms (pricing, payment conditions, etc.)
- Maintain and update inventory records (aprons, cocktail tables, etc.), staff/equipment presentation standards, and checklists
- Improve internal processes and documentation (e.g., a shared log of orders placed) to strengthen team collaboration
Qualifications & Requirements
- 5 to 8 years of experience in event management, hospitality, or catering, ideally within high-end/luxury service environments
- Proven ability to manage multiple events simultaneously, from planning through execution
- Strong client-facing skills, with experience acting as the primary point of contact for demanding clients
- Excellent organizational skills and attention to detail, particularly around logistics, inventory, and checklists
- Comfortable liaising across departments (sales, kitchen, pastry, service, accounting) and with external suppliers/vendors
- Strong negotiation skills for supplier/vendor management (pricing, terms)
- Fluent in Bahasa / English - local languages will be a plus.
- Flexible availability, including evenings and weekends, based on event schedules
- Proficiency with standard office tools (Excel, Word); experience with CRM / event management or inventory software is a plus
- A valid driver's license
- Passion for fine food, hospitality, and delivering a premium guest experience
Nice to Have
- Experience with premium F&B or knowledge of the gourmet/catering industry
- A network of vendor/supplier contacts in the events space
- Experience training or supervising junior staff/service teams
Compensation & Benefits
Base salary: depending on experience (benchmarked against comparable Event Manager roles in Kuala Lumpur, weighted toward the upper range given the premium/luxury positioning of the role).

Working Hours
Hours vary depending on the event schedule and may include evenings and weekends.

Pay: RM5,500.00 - RM6,500.00 per month
