Responsibilities
Role Overview
The **Events Coordinator** supports the planning and execution of all UMI UMI events. You will handle the operational logistics, vendor coordination, guest experience, and administrative tasks that make every show run smoothly. This is an excellent entry-level role for someone who is organised, proactive, and eager to build a career in the live entertainment industry.
Key ResponsibilitiesEvent Logistics & Operations
· Assist in coordinating event logistics across all UMI UMI events — After Dark shows, private functions, corporate events, brand activations, and community programmes
· Liaise with vendors (catering, AV, lighting, security, cleaning) to confirm bookings and timelines
· Prepare and distribute event run sheets, schedules, and briefing documents
· Conduct site walkthroughs and venue checks before and during events
On-the-Day Support
· Be present on event days to manage guest check-in, seating, and flow
· Support artists and performers with backstage needs, green room setup, and hospitality
· Act as a point of contact for vendors and crew during load-in, rehearsal, and show
· Handle minor issues and escalate to the Events Executive as needed
Administration & Coordination
· Maintain event files, contracts, and documentation in an organised manner
· Process vendor invoices, purchase orders, and payment requests
· Track event supplies inventory and reorder as needed
· Support the ticketing process — monitor sales, update listings, and reconcile attendance data
Post-Event Support
· Assist in compiling post-event reports (attendance, feedback, operational notes)
· Help gather and organise photos, videos, and audience feedback for marketing use
· Participate in post-mortem meetings and follow up on action items
Guest Experience
· Ensure a welcoming, seamless experience for guests from arrival to departure
· Handle guest inquiries, feedback, and complaints professionally during events
· Coordinate VIP and guest list management
RequirementsEssential
· Strong organisational and multitasking skills
· Excellent interpersonal and communication skills
· Ability to work flexible hours, including evenings and weekends during events
· Proficiency in Google Workspace / Microsoft Office
· A proactive, can-do attitude and willingness to help wherever needed
Preferred
· Knowledge of Malaysia's events and entertainment scene
· Basic familiarity with AV and production equipment
· Mandarin or Cantonese language skills are a plus
