Job Summary :
The Procurement Admin is responsible for providing administrative support to the Procurement Department by managing purchasing documentation, supplier coordination, inventory records, and procurement-related reports. The role will also support the Human Resources Department on administrative matters as assigned to ensure smooth day-to-day business operations.
Key Responsibilities :
- Prepare and process Purchase Requisitions (PR), Purchase Orders (PO), and related procurement documents.
- Liaise with suppliers regarding quotations, delivery schedules, invoices, and order status.
- Compare quotations and assist in sourcing new suppliers when required.
- Monitor purchase orders to ensure timely delivery of goods and services.
- Maintain accurate procurement records, supplier databases, contracts, and documentation.
- Coordinate with Finance to ensure timely invoice verification and payment processing.
- Track procurement expenses and prepare periodic purchasing reports.
- Monitor stock or inventory levels and coordinate replenishment with relevant departments.
- Assist in resolving delivery discrepancies, damaged goods, or supplier-related issues.
- Ensure procurement processes comply with company policies and procedures.
- Support procurement projects and perform other administrative duties assigned by Management.
HR Administrative Support (Ad Hoc) :
- Assist the HR Department with general administrative tasks when required.
- Prepare employee letters, forms, and HR-related documentation.
- Support recruitment activities such as interview scheduling and candidate coordination.
- Assist in onboarding arrangements for new employees.
- Maintain and update employee records and filing systems.
- Support staff engagement activities, training coordination, and company events.
- Assist with data entry, report preparation, and other HR administrative assignments as required.
Requirements :
- Diploma or Bachelor's Degree in Business Administration, Procurement, Supply Chain Management, Human Resource Management, or a related field.
- Minimum 1–3 years of experience in Procurement, Administration, or Purchasing.
- Experience in the F&B or Retail industry is an added advantage.
- Basic knowledge of procurement processes and documentation.
- Exposure to HR administration is an advantage.
- Proficient in Microsoft Office, especially Excel, Word, and Outlook.
- Good communication, coordination, and organisational skills.
- Able to multitask and work independently in a fast-paced environment.
- High attention to detail and accuracy.

Pay: RM1,800.00 - RM2,500.00 per month
