Our client, a well-established company, is seeking an Executive Assistant to provide strategic support to senior leadership. This role supports two C-suite executives and requires a confident, proactive individual who thrives in a fast-paced, high-performance environment.
Key Responsibilities:
- Manage complex and dynamic calendars across multiple time zones, ensuring effective prioritisation of senior leadership commitments.
- Coordinate end-to-end international travel arrangements, including detailed itineraries and last-minute changes.
- Act as a key liaison between senior executives and internal/external stakeholders, ensuring smooth communication flow.
- Organise and support high-level meetings, including leadership and board-related engagements.
- Prepare high-quality presentations, reports, and briefing materials for executive-level discussions.
- Anticipate needs and proactively manage competing priorities in a demanding environment.
- Oversee expense management, ensuring accuracy and compliance with internal policies.
- Coordinate events, offsites, and key business engagements.
- Maintain strict confidentiality and professionalism in handling sensitive information.
- Provide support on ad-hoc projects and team coverage when required.
Requirements:
- Minimum 8–10 years of experience providing executive support to senior leaders (C-suite or equivalent).
- Proven experience operating in a fast-paced, multinational or high-performance corporate environment.
- Strong executive presence, with the ability to engage confidently with senior stakeholders.
- Excellent organisational and prioritisation skills, with the ability to manage multiple demands under pressure.
- Proactive, resourceful, and adaptable with a solutions-oriented mindset.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office applications (Outlook, PowerPoint, Word, Excel).
- Japanese language ability is advantageous for regional stakeholder communication but not essential. Candidates will be assessed primarily on executive support experience and stakeholder management capabilities.
