Job Description

Responsibilities

Job Summary:

We are seeking an experienced and hands-on Senior Human Resources Executive to support the Company’s full spectrum of HR operations.

The successful candidate will be responsible for recruitment, employee onboarding, payroll support, employee records, performance management, training coordination, HR policies, employee relations and statutory compliance. This role is suitable for someone who is organised, detail-oriented and able to manage HR matters independently in a fast-paced working environment.

Key Responsibilities

  • Manage the full recruitment cycle, including job advertisements, candidate sourcing, resume screening, interview coordination, reference checks and preparation of employment offers.
  • Coordinate employee onboarding, confirmation, transfer, promotion, resignation and offboarding processes.
  • Maintain accurate employee records, personnel files, leave records and HR documentation.
  • Prepare and verify monthly payroll information, including attendance, overtime, allowances, deductions and employee movements.
  • Assist with statutory submissions and compliance matters involving EPF, SOCSO, EIS, PCB, HRD Corp and other relevant authorities.
  • Support the annual performance appraisal, KPI and employee confirmation processes.
  • Coordinate employee training, development programmes and HRD Corp claims.
  • Prepare employment letters, HR reports, organisation charts, headcount reports and other HR-related documents.
  • Support employee engagement activities, staff welfare programmes and internal communications.
  • Handle employee enquiries, disciplinary matters, grievances and employee relations issues professionally and confidentially.
  • Assist in reviewing and implementing HR policies, procedures, employee handbooks and internal controls.
  • Ensure compliance with the Employment Act 1955, company policies and applicable Malaysian employment requirements.
  • Liaise with government agencies, recruitment platforms, training providers, payroll vendors and other external parties.
  • Support management in manpower planning, HR budgeting and other HR improvement initiatives.
  • Perform other HR and administrative duties assigned by management.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, Psychology, Management or a related discipline.
  • At least 3 to 5 years of relevant HR experience, preferably in a generalist or full-spectrum HR role.
  • Good working knowledge of Malaysian employment practices, payroll processes and statutory requirements.
  • Experience in recruitment, employee lifecycle management, payroll administration and HR documentation.
  • Familiarity with the Employment Act 1955, EPF, SOCSO, EIS, PCB and HRD Corp requirements.
  • Proficient in Microsoft Excel, Word and PowerPoint.
  • Experience using HRIS, payroll or attendance systems will be an advantage.
  • Good written and verbal communication skills in English and Bahasa Malaysia.
  • Proficiency in Mandarin is preferred, as the role may require communication with Mandarin-speaking employees and stakeholders.
  • Strong attention to detail, confidentiality and accuracy.
  • Able to work independently, prioritise tasks and meet deadlines.
  • Mature, responsible and comfortable dealing with employees at different levels.
  • Positive attitude with good interpersonal and problem-solving skills.

  • Hands-on and comfortable managing day-to-day HR operations.
  • Familiar with both recruitment and HR administration.
  • Able to prepare professional employment letters and HR documentation.
  • Confident in communicating with employees, department heads and management.
  • Proactive in following up on outstanding HR matters.
  • Able to handle confidential and sensitive employee information with discretion.
  • Interested in improving HR processes, documentation and internal controls.
