Responsibilities

Key Responsibilities
As our Material Procurement Specialist, you will oversee the sourcing, purchasing, and delivery of all FF&E (Furniture, Fixtures, and Equipment) and construction materials for our residential projects. Your core duties will include:

Sourcing & Vendor Management: Identify, build, and maintain relationships with top-tier vendors, artisans, fabricators, and trade resources.

Purchasing & Order Processing: Generate purchase orders (POs), request quotes, review invoices, and process payments for custom furniture, lighting, wallcoverings, tile, flooring, and hardware.

Budget & Cost Control: Track project procurement budgets, negotiate trade discounts, and ensure all purchases align with the client’s approved financial plan.

Logistics & Expediting: Coordinate shipping, freight, warehousing, and white-glove delivery timelines. Proactively track orders and troubleshoot delays to ensure materials arrive on-site precisely when needed.

Quality Control: Inspect received items for damages, defects, or specification errors, and manage returns, replacements, and claims efficiently.

Collaborate with Design Teams: Work closely with interior designers to understand project specifications, offer budget-friendly or readily available alternatives when necessary, and update the team on material lead times.
Qualifications & Skills

Experience: 2–4 years of procurement, purchasing, or project management experience specifically within the residential interior design or luxury architecture industry.

Industry Knowledge: Strong familiarity with residential finish materials, textiles, custom millwork, plumbing fixtures, and luxury furniture brands.

Software Proficiency: Experience with interior design project management and procurement software and Microsoft Excel.

Negotiation Skills: Proven ability to negotiate pricing, freight costs, and lead times with vendors.

Organization: Exceptional attention to detail; ability to track hundreds of items across multiple active projects simultaneously without breaking a sweat.

Communication: Strong verbal and written communication skills for professional vendor negotiation and internal team alignment.
