Role Description
The role is responsible for the full spectrum of finance operations for the F&B business, including maintaining accurate financial records across cash, bank, accounts payable/receivable, and general ledger entries for all outlets and central kitchen operations. It includes preparing timely financial statements and management reports in line with MFRS standards, monitoring food and beverage cost, wastages, gross profit margins, and inventory valuation, and providing actionable financial insights to management. The role also covers daily sales and POS reconciliation across outlets, supplier and vendor account reconciliation, cash flow monitoring, and ensuring compliance with SST, licensing, and other regulatory requirements applicable to the F&B industry. Additionally, the role requires effective use of ERP/accounting and POS/inventory systems to streamline processes and maintaining up-to-date standard operating procedures for financial systems and workflows.
Key Deliverable / KPIs
a. Maintain accurate and up-to-date financial records, including cash & bank, accounts payable, accounts receivable, general ledger entries, and journal entries across all outlets and the central kitchen/commissary. b. Ensure timely and accurate recording of all financial transactions, including sales, purchases, invoices, payments, and expenses.
c. Reconcile daily outlet sales against POS/cashier reports, bank statements, credit card and e-wallet settlement reports, and other financial accounts regularly to identify discrepancies and ensure accuracy.
d. Liaise with outlet managers, central kitchen, and other stakeholders to ensure financial records are complete in a timely manner.
a. Prepare monthly, quarterly, and annual financial statements in accordance with Malaysia Financial Reporting Standards (MFRS).
b. Generate various financial reports, including income statements, balance sheets, cash flow statements, outlet-level P&L, and budget vs. actual analysis.
c. Track and report food and beverage cost (COGS), gross profit margin, and wastage/spoilage variance by outlet and by product category. d. Provide financial analysis and insights to management to support strategic decision-making, menu pricing, and outlet performance evaluation.
a. Manage accounts payable functions, including processing supplier invoices (food, beverage, and packaging suppliers), verifying expenses, and ensuring timely payments to vendors and suppliers.
b. Monitor accounts receivable aging (including corporate/catering clients and delivery platform receivables) and follow up on overdue payments, coordinating with sales and operations teams as necessary.
c. Reconcile accounts payable and accounts receivable balances, including delivery platform (e.g. GrabFood, Foodpanda) settlement statements, to ensure accuracy and completeness with external stakeholders' SOA.
a. Monitor stock movement, perform periodic stock counts, and reconcile physical inventory against system records for raw materials, semi-finished, and finished goods.
b. Review recipe costing, portion control, and pricing to support gross profit targets.
c. Investigate and report on significant stock variances, wastage, and spoilage.
a. Utilize accounting, POS, and inventory management systems effectively to streamline processes, improve efficiency, and maintain data integrity.
b. Maintain a good record of standard operating procedures and ensure they are kept up to date.
