Job description:

The Fleet Planner plays a key role in ensuring smooth and compliant trucking operations, particularly in cross-border and customs (kastam) areas. This position is responsible for sourcing trucks, coordinating with vendors, managing customs documentation through the K8 system, and supporting drivers with allowances. The role also involves verifying invoices and preparing payment requests, making it a critical link between operations and finance.

Key Responsibilities

Source and secure suitable trucks for company shipments.

Send Request of Transport (ROT) to vendors via email in a timely and professional manner.

Coordinate with vendors to confirm availability, rates, and schedules.

Handle cross-border trucking arrangements, ensuring compliance with customs (kastam) requirements.

Apply knowledge of K8 system for customs clearance and documentation.

Prepare and request Travel Allowance (TA) for drivers in line with company policy.

Verify invoices and prepare requests for payment to Finance.

Maintain accurate records of truck bookings, vendor communications, customs-related documents, driver allowances, and payment requests.

Support the logistics team in ensuring smooth transport operations across local and international borders.

Requirements

Minimum SPM/Diploma in Logistics, Supply Chain, or related field.

Strong communication skills (written and verbal).

Knowledge of transport operations, vendor coordination, and customs procedures.

Familiarity with K8 and custom forms and cross-border trucking processes.

Experience in basic invoice verification and payment request preparation.

Proficient in email communication and Microsoft Office tools.

Organized, detail-oriented, and able to work under tight deadlines.
