Responsibilities

JOB SUMMARY

The HR Executive is responsible for managing general human resources activities, foreign worker documentation, and company record-keeping to ensure smooth day-to-day HR operations while maintaining compliance with company policies and statutory requirements.

JOB DESCRIPTION

  • Handle general HR functions including employee attendance, leave administration, and day-to-day HR inquiries.
  • Support recruitment activities, including job posting, screening, interview coordination, and onboarding of new employees.
  • Assist in payroll-related administration and coordinate with relevant departments to ensure accuracy and timeliness.
  • Manage foreign worker documentation, including work permits, visas, and other statutory approvals, ensuring timely application, renewal, and compliance.
  • Liaise with relevant government agencies and authorities (e.g., Immigration Department, Ministry of Human Resources) on foreign worker matters and other HR-related compliance requirements.
  • Track expiry dates of foreign worker permits and related documents, and proactively follow up to prevent lapses.
  • Consolidate and organize company paperwork systematically, both physical and digital, to ensure easy retrieval and proper record-keeping.
  • Develop and maintain structured filing systems for HR and company documents in line with audit and compliance requirements.
  • Maintain accurate and up-to-date employee records, contracts, and HR files in the HR system/database.
  • Prepare HR-related reports and documentation for management review as required.
  • Ensure compliance with company policies, employment laws, and industry/regulatory requirements.
  • Support continuous improvement initiatives to streamline HR administrative processes and documentation flow.

QUALIFICATION REQUIREMENTS

  • Diploma or Degree in Human Resources, Business Administration, or a related field.
  • Proven experience (e.g., 1–3+ years) in an HR generalist or HR administration role, preferably with exposure to foreign worker management.
  • Good understanding of HR administrative processes, employment regulations, and foreign worker compliance requirements.
  • Familiarity with HR systems/databases for record management is an advantage.
  • Strong organizational, analytical, and problem-solving skills.
  • Good communication and interpersonal skills; able to liaise effectively with government agencies, employees, and internal departments.
  • Detail-oriented, organized, and able to manage multiple priorities under tight deadlines.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).

Pay: RM1,720.91 - RM5,025.37 per month
