We are seeking a proactive and organised Administrative Executive to provide day-to-day administrative and operational support to a Medical Planning & Development team. This role is ideal for someone who enjoys keeping operations running smoothly while supporting planning activities, meetings, and events.
Key Responsibilities
Provide general office administration and maintain organised filing systems for documents, technical drawings, and correspondence.
Handle incoming and outgoing documents, coordinate requests, and ensure timely follow-up.
Raise purchase requisitions, process invoices, and liaise with Finance, vendors, and contractors to track payments and maintain accurate records.
Manage office supplies and stationery inventory.
Schedule meetings, book venues, prepare meeting materials, take meeting minutes, and follow up on action items.
Support logistics for forums, engagement sessions, exhibitions, and other events, including venue coordination, vendor management, setup, and on-site support.
Prepare presentation materials, briefing packs, and event collaterals.
Assist with onboarding new staff by coordinating workspace, system access, and IT arrangements.
Handle general enquiries, internal communications, and provide administrative support for ad hoc projects as assigned.
Requirements
Diploma in any discipline.
At least 1–2 years of administrative or office support experience in healthcare sector.
Strong organisational and multitasking skills with attention to detail.
Good written and verbal communication skills.
Proficient in Microsoft Word, Excel, and PowerPoint.
Able to handle confidential information with discretion.
A dependable team player with a proactive attitude and strong work ethics.
