Summary
The Intern – Tender & Contract will support the team in preparing, reviewing, and managing tender submissions and contract documentation. This role provides hands-on exposure to procurement processes, vendor coordination, and compliance requirements.
Key Responsibilities
1. Tender Management
- Assist in sourcing and monitoring tender opportunities (ePerolehan, MyProcurement, ministry portals, etc.).
- Review tender documents, specifications, and requirements.
- Assist to coordinate with internal departments (technical, finance, legal, operations) to compile tender submissions.
- Expose in preparing technical and commercial proposals, costing summaries, and supporting documents.
- Support internal teams during tender clarification, negotiation, and approval stages.
- Ensure submissions meet deadlines and compliance requirements.
- Assist to communicate with suppliers and vendors to obtain pricing, specifications, and supporting details.
- Assist to compare supplier quotations and conduct basic cost evaluations to ensure competitive and viable pricing.
- Assist to maintain proper records of all tender activities and submissions
2. Contract Administration
- Assist in drafting, review, and administer contracts in accordance with government regulations.
- Support contract tracking, filing, and documentation management.
- Help to ensure compliance with contract terms and conditions.
- Collect, review, and organize technical, commercial, and financial information needed for tender participation.
- Support the internal team regarding technical specifications and procurement requirements.
- Assist to monitor contract milestones, deliverables, and payment schedules.
- Assist to maintain proper documentation and filing of all contract-related records.
3. Compliance & Documentation
- Liaise with internal departments to gather information for tenders.
- Communicate and provide regular updates to internal stakeholders regarding tender strategies and bid progress.
- Assist to ensure compliance with procurement requirements and contract conditions set by government or private sector entities.
- Assist to ensure compliance with government procurement policies and statutory requirements.
- Assist to coordinate with vendors/suppliers for quotations and supporting documents.
- Maintain organized filing system (physical and digital).
4. Perform any other duties assigned by Management from time to time.
Requirement & Qualifications
- 1. Currently pursuing Diploma/Degree in Quantity Surveying, Business Administration, Procurement, or related field.
- Strong attention to detail and organizational skills
- Good communication, interpersonal skills, good analytical, negotiation, and coordination skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Ability to work independently and meet deadlines
- Basic understanding of tender/procurement processes
- Familiarity with documentation and report preparation.
- Proficiency in Bahasa Malaysia is must.
- Detail-oriented with strong documentation and time management skills.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
Pay: RM1,000.00 per month
