POSITION: Assistant / Executive, HR & Admin


Job Summary


We are seeking a proactive, organized, and detail-oriented Human Resource & Administration Assistant to provide administrative and coordination support to the Human Resources department. The role will act as a key administrative partner to the CHRO, VP Human Resources, and Senior Manager Human Resources, ensuring smooth day-to-day operations, efficient document management, scheduling coordination, and HR administrative support.

This position is ideal for candidates with 2–3 years of experience in HR administration, executive assistant, departmental secretary, or office administration roles who are looking to build a career within Human Resources.


Key Responsibilities


Human Resources Administration

  • Provide administrative support across the employee lifecycle, including onboarding, transfers, confirmations, and offboarding activities.
  • Prepare and maintain employee records, HR documents, personnel files, and correspondence.
  • Support the preparation of employment contracts, letters, and HR-related documentation.
  • Coordinate new hire onboarding activities and ensure completion of required documentation.
  • Maintain accuracy and confidentiality of employee information in HR systems and databases.
  • Assist in the administration of employee benefits, leave records, and other HR programs.
  • Support HR initiatives, employee engagement activities, training programs, and corporate events.
  • Assist in compiling HR reports, presentations, and departmental metrics as required.


Executive & Departmental Support

  • Provide administrative and secretarial support to the CHRO, VP HR, and Senior Manager HR.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Arrange travel bookings, accommodation, and logistics when required.
  • Prepare meeting materials, agendas, presentation decks, and meeting minutes.
  • Track action items and follow up with stakeholders to ensure timely completion.
  • Manage confidential correspondence and sensitive information with discretion and professionalism.


General Administration

  • Coordinate department meetings, town halls, and HR events.
  • Manage filing systems, document control, and records retention processes.
  • Liaise with internal stakeholders and external vendors on administrative matters.
  • Support procurement requests, purchase orders, invoice processing, and budget tracking for the HR department.
  • Maintain office supplies and ensure smooth administrative operations within the department.
  • Assist with ad-hoc projects and assignments as directed by HR leadership.


Requirements

  • Diploma or Bachelor's Degree in Human Resources, Business Administration, Office Management, or relevant field of study.
  • 2–3 years of relevant experience in HR administration, executive assistant, departmental secretarial, or office administration roles is ideal.
  • Experience in supporting senior management or executives will be an added advantage.

  • Positive, service-oriented, and proactive attitude.


Preferred Attributes

  • Experience supporting HR leadership teams or C-suite executives.
  • Familiarity with HR systems and employee records management.
  • Strong coordination and event management skills.
  • Demonstrated ability to anticipate needs and provide proactive administrative support.
