At The Wave Clinic, we provide specialized, transformative care for young adults. We are seeking a highly organized, proactive, and detail-oriented Clinical Administrator to serve as the operational backbone of our clinical administration.

Role Purpose (The Milieu Conductor): To provide seamless operational oversight within the therapeutic milieu. In our in-patient environment, you serve as the central nervous system of The Wave's clinical coordination; translating digital multidisciplinary treatment plans into a physical, predictable reality for our young adults.

Key Responsibilities

Therapeutic Schedule Coordination

• Manage the digital calendar suite(s) in ensuring synchronization between clinical team member availability, logistical arrangements, and individualized treatment plans for young adults.
• Act as the central logistical hub, coordinating daily with clinical, medical, and operational teams to ensure seamless transitions and accurate transportation arrangements without schedule conflicts.

Correspondence Oversight & Property Stewardship

• Conduct systematic safety screenings of all incoming and outgoing identify indicators of psychological distress, clinical risks, or boundary violations.
• Maintain the integrity of "The Vault," ensuring all young adult belongings, travel documents, and valuables are inventoried and managed strictly in alignment with clinical safety protocols.
• Oversee the administrative lifecycle of young adult's admissions and discharges, ensuring all documentation are accurately established and archived.

Clinical Data Synthesis & Administration

• Transform qualitative reflections and quantitative attendance metrics into actionable data within the Clinical Outcomes Dashboard, working alongside analytics and strategic partnerships to synthesize this data.
• Manage high-volume data entry and the day-to-day delivery of clinical assessments. This includes the printing of documents, data entry from digital forms, and invoice collection with their respective escalation statuses.
• Triage internal and external communications, serving as the primary administrative point of contact.

Continuous Quality Improvement

• Actively identify operational friction points within the clinic's daily routines.
• Design and implement proactive process improvements to enhance the efficiency of the clinical delivery system and overall administrative operations.

Required Skills & Qualifications

Platform Proficiency

Strong working knowledge of modern workplace collaboration suites, specifically Microsoft Teams and/or Google Workspace. Experience with Electronic Health Record (EHR) systems or clinical dashboards is a strong advantage.

Logistical Expertise

Proven ability to manage complex, high-level calendar coordination and schedule planning within a fast-paced healthcare or similar therapeutic setting.

Risk & Protocol Management

Exceptional attention to detail with the ability to strictly enforce clinical safety protocols, recognize potential risks, and maintain boundaries in a mental health environment.
