About The Role
The Assistant Digital Transformation Manager supports the Digital Transformation Manager in driving technology initiatives, process improvement, and business system adoption across the organization. This role acts as the bridge between business users, technology teams, and external vendors to ensure business processes are effectively translated into scalable digital solutions.
The role combines business analysis, application ownership, project coordination, process optimization, and change management responsibilities to ensure systems are practical, reliable, and aligned with operational goals.
This role manages and supports the Application Analyst function while leading broader digital transformation and project coordination initiatives across the organization.
Key Responsibilities
1. Digital Transformation & Business Process Improvement
- Support the Digital Transformation Manager in executing digital transformation initiatives across departments.
- Understand and document end-to-end business processes across business functions.
- Identify operational inefficiencies, process gaps, and automation opportunities.
- Recommend and support implementation of digital solutions to improve efficiency, visibility, and data accuracy.
- Promote continuous improvement through technology adoption and process standardization.
2. Business Requirements & Functional Analysis
- Gather, analyze, and clarify business requirements through workshops and stakeholder discussions.
- Translate business requirements into functional specifications, workflows, business rules, and system behaviours.
- Support solution design by ensuring alignment between operational needs and system capabilities.
- Maintain functional documentation, workflows, SOPs, and business process maps.
3. Application Ownership & System Administration
- Act as the functional owner for assigned applications such as ERP, CRM, workflow, or internal business systems.
- Define and manage application workflows, validations, user roles, statuses, and approval processes.
- Support system configuration and enhancements to align with business requirements.
- Ensure systems remain usable, reliable, and aligned with operational processes.
- Coordinate issue resolution, enhancements, and support activities with vendors or internal teams.
4. Project Coordination & Vendor Management
- Support planning, coordination, and tracking of digital transformation and system implementation projects.
- Work closely with developers, consultants, and third-party vendors to clarify requirements and monitor deliverables.
- Coordinate project timelines, UAT activities, deployment preparation, and post-go-live support.
- Monitor project risks, issues, and dependencies, escalating when necessary.
- Act as a key functional contact point between business stakeholders and technical teams.
5. User Acceptance Testing (UAT) & Quality Assurance
- Prepare UAT scenarios, test cases, and acceptance criteria.
- Coordinate testing activities with business users and validate system functionality.
- Ensure delivered solutions meet agreed business requirements and operational expectations.
- Support defect tracking, issue triage, retesting, and continuous improvement activities.
6. AI & Digital Innovation
- Support evaluation and adoption of AI-enabled solutions to improve operational efficiency and business productivity.
- Identify opportunities to leverage AI, automation, and data-driven technologies within business processes.
- Collaborate with business users and technical teams to explore AI use cases such as workflow automation, chatbot support, predictive analytics, reporting enhancement, or intelligent document processing.
- Support implementation and user adoption of AI-powered business tools and digital platforms.
- Keep updated on emerging AI and digital technology trends relevant to business operations and transformation initiatives.
7. User Support, Training & Change Management
- Provide functional application support for business users (L1/L2 support).
- Conduct user onboarding, system training sessions, and adoption activities.
- Develop user guides, SOPs, FAQs, and training documentation.
- Gather user feedback and recommend usability or process improvements.
- Support organizational change management during system rollouts or process changes.
8. Cross-Functional Coordination
- Work closely with the Tech Lead, developers, and Data Analysts / BI team to support system enhancements, reporting initiatives, and operational improvements.
- Coordinate with functional and technical teams to ensure business requirements are aligned with system capabilities and reporting needs.
- Support collaboration between business users, technical teams, and external vendors during implementation and enhancement activities.
9. Stakeholder Management
- Collaborate with business users across Sales, Operations, Finance, Customer Service, Manufacturing, and other departments.
- Work closely with the Digital Transformation Manager, Tech Lead, developers, Data Analysts, Application Analyst and external vendors.
- Facilitate alignment between business priorities and digital initiatives.
Skills & Experience
Education
- Bachelor’s Degree in Information Technology, Computer Science, Business Administration, Digital Business, Engineering, or related field.
Experience
- 4–7 years of experience in application support, business analysis, digital transformation, ERP/CRM systems, or system implementation roles.
- Experience working with ERP, CRM, workflow automation, or enterprise applications such as Odoo, SAP, Microsoft Dynamics, Monday CRM, or similar platforms.
- Experience supporting manufacturing, retail, supply chain, warehouse operations, customer order management, or operational business processes is preferred.
- Exposure to manufacturing or retail environments including MRP, production planning, inventory control, sales operations, customer service, or order fulfillment processes is an advantage.
- Experience supporting cross-functional business operations and process improvement initiatives.
- Exposure to project coordination or vendor management activities.
Technical & Functional Skills
- Strong understanding of business processes, workflows, and system functionality.
- Ability to translate business needs into functional system requirements.
- Knowledge of ERP/CRM systems, application configuration, and process automation.
- Familiarity with UAT coordination, change management, and implementation lifecycle.
- Exposure to BI, reporting, dashboards, or data analysis concepts is advantageous.
- Basic understanding of integrations, APIs, and system architecture is beneficial.
