Job Title: Purchasing Assistant Manager
Job Summary:
The Purchasing Assistant Manager supports the Purchasing Manager in overseeing procurement activities, ensuring timely sourcing of materials and services at optimal cost, quality, and delivery standards in line with company policies.
Key Responsibilities:
- Handle purchasing activities from Purchase Requisition (PR) to Purchase Order (PO).
- Source, evaluate, negotiate, and manage local and overseas suppliers for raw materials, parts, machinery, tools, consumables, and other business requirements.
- Obtain quotations, compare prices, negotiate commercial terms, and recommend the best suppliers based on quality, cost, delivery, and service.
- Issue Purchase Orders, monitor delivery schedules, and follow up with suppliers to ensure timely delivery and uninterrupted material supply.
- Coordinate urgent purchases, import shipments, freight forwarders, and customs clearance to support business operations.
- Monitor inventory levels and work closely with Production, Planning, Warehouse, QA/QC, Engineering, Finance, Sales, and Administration to ensure sufficient material availability.
- Maintain the Approved Vendor List (AVL), evaluate supplier performance, develop alternative suppliers, and build strong long-term supplier relationships.
- Identify and implement cost-saving initiatives, monitor market trends, prepare price comparisons and purchasing analysis, and support annual budgeting.
- Maintain accurate purchasing records and ensure compliance with Company policies, SOPs, ISO requirements, internal controls, and applicable legal regulations.
- Prepare regular purchasing reports, including supplier performance, purchase status, cost savings, procurement KPIs, inventory analysis, and monthly purchasing summaries.
- Recommend and implement continuous improvements to purchasing processes, digitalization initiatives, and procurement efficiency while supporting Lean Manufacturing and Kaizen activities.
- For the Assistant Manager level, supervise and coach the Purchasing team, develop procurement strategies, lead supplier negotiations and strategic sourcing projects, monitor departmental KPIs, manage procurement risks, and support continuous improvement initiatives.
- Perform any other duties and responsibilities assigned by Management from time to time.
Requirements:
- Diploma or Bachelor’s Degree in Business Administration, Supply Chain, Procurement, or related field.
- Minimum 3–5 years of experience in purchasing or procurement roles.
- Strong negotiation, communication, and analytical skills.
- Proficient in MS Office and ERP systems.
- Ability to work independently and manage multiple priorities.
- Experience in manufacturing or industrial environment is an added advantage.
