Responsibilities
1. Project Coordination & Administration
- Monitor project timelines, milestones, and follow-ups to ensure tasks are completed according to schedule
- Assist in preparing project schedules, progress updates, and basic reports for management review
- Attend project meetings, site meetings, and progress meetings when required
- Assist in site supervision and carry out onsite duties as instructed by superior
- Support project documentation including progress claims, variation records, approvals, and compliance documents
- Assist in monitoring actual cost versus budget for progress claims from suppliers and vendors
- Liaise with internal departments, suppliers, and external parties to support smooth project operations
2. Documentation, Filing & Records Management
- Handle daily administrative tasks, filing, and record keeping
- Ensure all documents are properly filed, updated , controlled, and easily retrieveable
- Maintain correspondence logs, action logs, and contact lists for projects, vendors, and clients
- Prepare and organize project files for audit, management review, or compliance purposes
3. MD’s Office Administration
- Manage the Managing Director’s calendar, meetings arrangement, and schedule appointments
- Handle coordination of travel arrangements, meeting logistics, and office documentation
- Take minutes of meetings, prepare and compile reports for the MD’s office
- Perform other administrative, secretarial, and project-related duties as assigned by superior from time to time
Requirements
- A bachelor’s degree or equivalent (preferably in business administration or a related field).
- Minimum 1–3 years working experience in project management, personal assistant, or secretarial roles.
- Exposure to working with senior management or in a corporate environment is preferred.
- Hands-on experience in managing filing systems, documentation, and records.
- Prior experience in farm or plantation-related projects will be an added advantage.
- Excellent written and verbal communication, with the ability to interact with a range of stakeholders.
- Strong organizational, filing, and documentation skills with attention to detail.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and email management.

Pay: RM3,500.00 - RM5,000.00 per month
