Role Overview
The QS Project Coordinator supports the successful delivery of construction projects by providing commercial, procurement, cost control, and project coordination support to project teams throughout the project lifecycle.
Working closely with project managers, cost consultants, contractors, suppliers, and internal stakeholders, the role ensures effective project governance, financial administration, and reporting while maintaining compliance with company procedures and systems.
Key Responsibilities
Project Coordination
- Maintain project documentation, filing systems, and project records.
- Coordinate communication between project teams and internal stakeholders.
- Support onboarding of project team members, consultants, and contractors.
- Organise project meetings, training sessions, and project-related communications.
Commercial & Procurement Support
- Support supplier onboarding and vendor setup processes.
- Assist with procurement administration and contractor prequalification activities.
- Review and maintain commercial documentation and approvals.
Purchase Order & Invoice Management
- Raise and manage purchase orders in accordance with project procedures.
- Monitor PO approvals and maintain accurate records.
- Coordinate invoice processing, payment approvals, and vendor queries.
- Liaise with Finance and Accounts Payable to ensure timely payments.
Cost Control & Reporting
- Maintain cost trackers, invoice logs, and commitment registers.
- Support reconciliation of cost reports, spend reports, and project budgets.
- Assist in preparing monthly cost and financial reports.
- Monitor project expenditure and highlight any discrepancies or risks.
Project Systems Administration
- Support project setup and administration within internal systems such as Oracle, Tririga, Procore, and SharePoint/GDrive.
- Manage user access, permissions, and project data updates.
- Maintain process documentation and support user training where required.
Governance & Compliance
- Ensure compliance with company policies, procedures, and project controls.
- Support internal audits, legal requests, and compliance reviews.
- Maintain accurate records and supporting documentation for audit purposes.
Continuous Improvement
- Contribute to process improvements across commercial and project control functions.
- Support the implementation and adoption of project management systems and best practices.
Qualifications
- Bachelor's Degree in Quantity Surveying, Construction Management, Project Management, Engineering, Business Administration, or a related discipline.
- 5-10 years of experience in quantity surveying support, project coordination, commercial administration, project controls, or construction project environments.
- Experience within construction, real estate, industrial, manufacturing, or data centre projects is advantageous.
- Familiarity with Oracle, Procore, Tririga, SAP, or similar project management systems is preferred.
Skills & Competencies

- Proficient in Microsoft Excel and project management systems.
