Administrative Executive - Full Time
Job Summary:
The Administrative Executive is responsible for ensuring the smooth, efficient, and organized day-to-day operation of the office. This role acts as the backbone of the organization’s daily functions, overseeing general office administration, managing procurement and vendor relationships, maintaining critical documentation, and coordinating complex scheduling to support the team and executive leadership.
Key Responsibilities:1. Office Administration
- Oversee the daily operations of the office, ensuring a fully functional and organized working environment.
- Monitor and maintain office equipment (printers, copiers, IT hardware) and coordinate repairs or maintenance as needed.
- Manage incoming and outgoing mail, courier services, and general office correspondence.
- Act as the primary point of contact for internal and external queries, providing excellent customer service to employees, clients, and visitors.
- Assist in the onboarding process for new hires by preparing workspaces, equipment, and welcome materials.
2. Procurement & Inventory Management
- Manage the procurement of office supplies, equipment, and services, ensuring cost-effectiveness and quality.
- Source, evaluate, and negotiate with vendors and suppliers to secure the best contracts and pricing.
- Maintain optimal inventory levels of office supplies, pantry items, and operational materials; reorder as necessary.
- Process purchase orders, invoices, and expense reports, ensuring accuracy and timely payment.
3. Documentation & Record Keeping
- Develop, maintain, and organize both physical and digital filing systems to ensure easy retrieval of information.
- Draft, format, and proofread business correspondence, memos, reports, and presentations.
- Ensure all administrative documents comply with company policies, legal requirements, and data protection regulations.
- Maintain confidential records and handle sensitive information with the utmost discretion.
4. Scheduling & Calendar Management
- Manage and coordinate complex calendars and scheduling for executives, managers, or the broader team.
- Schedule and organize internal and external meetings, including booking conference rooms, preparing agendas, and taking minutes.
- Coordinate domestic and international travel arrangements, including booking flights, accommodations, and preparing detailed itineraries.
- Assist in the planning and execution of company events, team-building activities, and corporate meetings.
Required Skills & Qualifications:
- Education: Diploma or Bachelor’s degree in Business Administration, Management, or a related field (or equivalent practical experience).
- Experience: Proven work experience as an Administrative Executive, Office Manager, or in a similar administrative support role.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software or ERP systems.
- Organizational Skills: Exceptional multi-tasking and time-management abilities with a strong attention to detail.
- Communication: Excellent written and verbal communication skills, with the ability to interact professionally with all levels of the organization and external partners.
- Problem-Solving: A proactive approach to identifying office inefficiencies and implementing practical solutions.
Pay: RM1,800.00 - RM2,500.00 per month
