Job Summary:
The Project Manager is responsible for leading and coordinating cross-functional projects, with a focus on
regulatory licensing applications, compliance initiatives, audit readiness, and operational support within the
digital asset / virtual asset trading business. The role oversees project planning, execution, stakeholder
coordination, documentation, risk and issue tracking, and timely delivery of project outcomes in line with
internal standards and regulatory requirements, and support ad hoc projects needed by the organisation.
Key Responsibilities:
Licensing Application:
- Lead and manage the preparation of licensing applications across relevant jurisdictions to ensure submissions are complete, accurate, and aligned with regulatory requirements.
- Coordinate closely with Compliance, Legal, Finance, Operations, Technology, and relevant business teams to gather, review, and organize information required for application processes.
- Review application materials, supporting documents, policies, procedures, governance information, and relevant operational inputs to ensure consistency and readiness before submission.
- Monitor regulatory updates across various jurisdictions and assess their impact on ongoing licensing applications, project timelines, and internal workstreams.
- Coordinate with external consultants, legal advisers, corporate service providers, auditors, and other vendors where required for licensed entities, including tracking deliverables, comments, outstanding items, and follow-up actions.
- Support management in tracking licensing progress, regulator queries, external adviser inputs, and follow-up actions through to completion.
Audit Support:
- Manage and coordinate internal and external regulatory audits, compliance reviews, and assurance-related workstreams.
- Assist with audit timelines tracking, coordinate evidence gathering across departments, and ensure documentation and responses are prepared in a timely and organized manner.
- Review audit request lists, track responsibilities and deadlines, and follow up with relevant teams, external consultants, and service providers to ensure timely closure of audit items.
- Oversee the tracking and remediation of audit findings, including action plans, owners, target dates, and supporting evidence for closure.
Project Administration & Records Oversight:
- Oversee project-related records, approvals, trackers, meeting notes, audit evidence, application files, and management reporting materials to ensure documents are properly maintained.
- Provide backup support on basic project administration, expense tracking, approvals, and bookkeeping-related coordination where team members are unavailable or where additional coverage is required.
- Ensure key project documentation is properly recorded and retained for internal governance, regulatory, and audit purposes.
- Provide administrative oversight and coordination where required to support departmental efficiency and smooth project execution.
Requirements:
- Bachelor's degree in Finance, Law, Business Administration, Accounting, or a related field.
- 5 to 8 years of relevant experience in project management, regulatory licensing, compliance, audit support, financial services, fintech, or the digital asset industry.
- Experience coordinating or managing licensing applications, regulatory submissions, audits, external consultants, vendors, or compliance-related projects across multiple jurisdictions is preferred.
- Experience managing or coordinating a PMO team, project support team, or cross-functional delivery team is preferred.
- Strong attention to detail and the ability to manage complex information, documents, deadlines, and stakeholder inputs accurately.
- Good understanding of regulatory requirements and willingness to stay updated on regulatory developments in relevant jurisdictions.
- Strong project coordination, planning, organizational, and follow-up skills, with the ability to manage multiple workstreams in parallel.
- Excellent communication skills, with the ability to liaise effectively with internal teams, senior stakeholders, external advisers, auditors, regulators, consultants, and vendors.
- Ability to work independently, take ownership of deliverables, manage team follow-up, and collaborate effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Bilingual in English and Mandarin.
