Provide comprehensive executive support to the CEO, including calendar management, email correspondence, meeting coordination, and follow-up on key action items.
Act as the primary liaison between the CEO and all departments, ensuring effective communication, seamless coordination, and timely execution of business priorities.
Coordinate and monitor cross-functional projects, ensuring deadlines, deliverables, and key milestones are achieved.
Track, collect, and consolidate departmental reports, preparing concise management summaries and updates for the CEO.
Anticipate the CEO's needs by proactively identifying issues, recommending solutions, and driving tasks to completion with minimal supervision.
Manage multiple priorities, urgent ad hoc assignments, and rapidly changing schedules while maintaining accuracy and efficiency.
Coordinate domestic and international travel arrangements, including flights, accommodation, transportation, visa applications, and detailed itineraries.
Prepare high-quality presentations, reports, proposals, business correspondence, and meeting materials to support executive decision-making.
Liaise professionally with internal teams, clients, business partners, government agencies, and external stakeholders on behalf of the CEO.
Organize meetings, prepare agendas, record meeting minutes where required, and ensure timely follow-up on action items.
Maintain organized filing systems, confidential records, contracts, and corporate documents with a high level of accuracy.
Identify workflow inefficiencies and recommend practical improvements to enhance operational effectiveness.
Support strategic initiatives, special projects, and other responsibilities assigned by the CEO.
Requirements
Bachelor's Degree in Business Administration, Management, or a related discipline is preferred.
Minimum 3–5 years of experience as an Executive Assistant, Personal Assistant, Executive Secretary, or a similar executive support role.
Exceptional organizational and multitasking skills with the ability to manage multiple priorities effectively.
Proven ability to thrive in a fast-paced, high-pressure environment while handling frequent ad hoc assignments and shifting priorities.
Strong sense of ownership, initiative, accountability, and the ability to work independently with minimal supervision.
Excellent analytical, problem-solving, and decision-making skills with strong attention to detail.
Outstanding interpersonal and communication skills, with the ability to collaborate effectively across all departments and interact confidently with senior management and external stakeholders.
Fluent in English and Mandarin (spoken and written). Proficiency in Bahasa Malaysia is an added advantage.
High level of integrity, professionalism, and discretion in handling confidential and sensitive business information.
Adaptable, resourceful, and able to remain calm and organized under pressure.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Experience in project coordination, business operations, or executive-level support will be an added advantage.
