Bare Cove Technology is in a rapid-growth phase and onboarding new clients across Hong Kong, Singapore, Australia and the UK. To support our continued growth, Bare Cove is looking to add several new members to the team.
ABOUT THE ROLE
Bare Cove Technology is looking for a Senior Administrative Assistant to support the executive and leadership teams across a variety of domains, to facilitate our continued rapid growth. The Administrative Assistant will help with general office administration, and vendor management, and generally support the leadership teams by taking various administrative tasks off of their plates. The successful candidate will also have the opportunity to get involved in finance and HR related tasks after appropriate training.
Bare Cove Technology was established in January 2020, and is a rapidly growing company. The motivated candidate will have the opportunity to expand from this role into a variety of other roles such as Administrative Manager, Procurement Manager, etc. in the future.
This role is based in our Central, Hong Kong office. The candidate will be reporting to the Head of Administrative Services.
JOB DUTIES
Ensure office efficiency by maintaining common areas, handling correspondence, managing file systems, and overseeing supplies and equipment.
Assist with vendor management and procurement for clients and the company.
Maintain good supplier relations and negotiate contract terms / price.
Maintain and update supplier information.
Follow and enforce the company's policies and procedures.
Assist with various company meetings, events, and celebrations.
Assist with preparation of weekly, monthly and quarterly management reports with leadership team.
Assist finance team with preparation of monthly and annual book close
Assist with HR and Hiring processes.
Perform any ad hoc responsibilities as assigned by the executive team.
REQUIRED SKILLS AND QUALIFICATIONS
Minimum 3+ years’ experience as an administrative assistant.
Strong English and Cantonese communication skills.
Strong sense of confidentiality and responsibility.
Strong time-management skills, high degree of flexibility, and excellent multitasking ability.
Basic knowledge of accounting and bookkeeping practices.
Strong prioritization skills and organization skills to complete a wide variety of tasks.
Detail oriented with a strong attention to detail to ensure accuracy in documentation, financial transactions and other administrative tasks
Ability to work independently to meet deadlines.
Strong problem-solving ability.
Highly self-motivated and proactive.
NICE-TO-HAVE SKILLS
Procurement and inventory management experience.
Mandarin speaker preferred.
