The Project Executive will play a hands-on supporting role in the planning, coordination, and execution of a wide range of events. These include large-scale public engagement initiatives, government PR campaigns, community carnivals, experiential activations, and corporate functions.
You will support the delivery of immersive and impactful events while working closely with the teams to ensure seamless integration with broader campaigns. This role offers the opportunity to contribute to high-profile projects with social purpose in a collaborative and dynamic environment.
Responsibilities:
Assist in developing event concepts, rundowns, creative proposals, and detailed execution plans.
Support the creation of project timelines, budgets, risk assessments, and resource plans.
Coordinate venue sourcing, vendor management (AV, staging, lighting, catering, decorations, security, talents, props), contract negotiations, and production requirements.
Handle permit applications, insurance, logistics scheduling, and on-site production elements, including liaison with internal and external stakeholders.
Maintain and develop the vendor database and preferred supplier relationships.
Support or lead onsite coordination, including run-throughs, registration, VIP protocol, crowd management.
Work closely with clients (including government departments), internal PR and Marketing teams, and external partners to ensure smooth and integrated event delivery.
Ensure events align with broader campaign narratives and objectives.
Maintain accurate project documentation, status reports, meeting notes, and post-event recaps.
Support budget tracking, invoice processing, and document filing.
Requirements
Bachelor’s degree in Event Management, Marketing, Communications, Hospitality, or a related field.
Minimum 2 years of hands-on event management experience, preferably in an agency.
Strong project management, organizational, and multitasking skills with the ability to manage multiple projects under tight deadlines and pressure.
Excellent written and spoken Cantonese and English ; Mandarin proficiency is a strong advantage.
Proficiency in Microsoft Office, and basic design/presentation software (Canva, PowerPoint/Keynote).
Proactive, collaborative, and detail-oriented with strong problem-solving skills.
Willingness to work flexible/irregular hours, including evenings, weekends, and public holidays, and to travel to event venues across Hong Kong.
