Job Description

  • This role is responsible for overseeing the company’s administrative framework, ensuring smooth daily operations through effective asset management, procurement, and cost control. The ideal candidate will be a proactive coordinator capable of managing office facilities, supervising employee welfare services like the canteen, and executing high-impact corporate events and staff activities.

Key Responsibilities

  • Responsible for the company's administrative management including the revision, update, and release of administrative systems, forms, and policies.
  • Responsible for the daily operation of administrative work, including asset management and procurement of stationery, pantry supplies, event decoration, and company uniforms (such as ESD shoes and smocks).
  • Oversee the full lifecycle of staff uniforms and footwear, including the sourcing, purchase, and coordination of regular laundry services.
  • Manage the annual administrative budget for staff welfare, uniforms, pantry supplies, stationery, company events etc, providing suggestions on cost control and savings.
  • Complete management of canteen operations, including direct liaison with food vendors and ensuring quality service for staff meals.
  • Oversee staff accommodation (hostel) and transportation, including the coordination of all hotel, bus, and flight bookings for business travel.
  • Lead the planning and execution of company events from start to finish (including logistics and onsite coordination), such as quarterly staff birthdays, festive celebrations (Raya, Deepavali, CNY, and Christmas), annual dinners, and company trips.
  • Directly organize and manage Corporate Social Responsibility (CSR) programs, sports activities, and team-building sessions.
  • Liaise with government agencies and external parties for official communication and compliance.

Qualifications Required

  • Education: Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience: Minimum 3–5 years of experience in office administration or corporate services and event organizing.

Preferred Skills

  • Experience in managing canteen vendors, hostel facilities, or company transport.
  • Proficiency in budget preparation and monitoring administrative expenditures.
  • Strong ability to manage procurement processes and maintain relationships with service providers.
  • Experience in organizing employee and corporate events such as annual dinners, festive celebrations, CSRs, team-buildings, birthday celebrations and other related staff activities.

Personal Qualities

  • Highly organized with the ability to multitask and meet tight deadlines for company-wide events.
  • Excellent communication skills for liaising with government officials and internal stakeholders.
  • Proactive in identifying cost-saving opportunities and resolving facilities-related issues.
