Job Description

Responsibilities

We are looking for a Project Coordinator & Business Analyst to join our software company. This role is responsible for communicating with customers, understanding their business needs, gathering and documenting requirements, preparing technical documentation, and coordinating with the implementation team and software developers to deliver projects successfully.

Key Responsibilities

  • Communicate with customers to understand their business processes, challenges, and project objectives.
  • Gather, analyze, validate, and document business and functional requirements.
  • Prepare requirement documents, user stories, business process flows, workflow diagrams, and task lists for the development team.
  • Convert customer requirements into clear functional specifications and technical implementation tasks.
  • Coordinate with software developers, programmers, QA testers, and implementation consultants to ensure project requirements are clearly understood.
  • Manage project communication between customers and internal teams.
  • Arrange project meetings, prepare meeting minutes, and follow up on action items.
  • Monitor project progress, timelines, deliverables, pending tasks, risks, and issues.
  • Follow up with the development team to ensure tasks are completed according to project scope and schedule.
  • Support software testing and verify that the delivered system meets customer requirements.
  • Coordinate User Acceptance Testing (UAT) with customers.
  • Collect customer feedback and coordinate change requests and system enhancements.
  • Assist with software implementation, deployment, user training, and project handover.
  • Ensure successful project delivery within agreed scope, timeline, and quality standards.

Technical Writing & Documentation Responsibilities

  • Prepare complete and professional project documentation for both customers and internal teams.
  • Create User Requirement Specifications (URS) based on customer requirements.
  • Prepare Functional Requirement Specifications (FRS) and Software Requirement Specifications (SRS) where applicable.
  • Develop User Acceptance Testing (UAT) documents, including test plans, test scenarios, test cases, acceptance criteria, and UAT reports.
  • Write technical documentation covering system workflows, configurations, custom developments, integrations, APIs, deployment procedures, and implementation logic.
  • Prepare functional specifications, business process documentation, workflow diagrams, and gap analysis documents.
  • Document customer meetings, project scope, change requests, decisions, and agreed requirements.
  • Work closely with software developers to understand technical implementation and convert it into clear documentation.
  • Prepare user manuals, administrator guides, training materials, Standard Operating Procedures (SOPs), and system handover documentation.
  • Maintain proper version control and ensure all project documentation remains accurate and up to date throughout the project lifecycle.
  • Ensure documentation is clear, organized, professional, and suitable for customer review and approval.

Requirements

  • Diploma or Bachelor's Degree in Computer Science, Information Technology, Business Information Systems, Software Engineering, or a related field.
  • Good communication and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Ability to understand business processes and translate them into software requirements.
  • Good technical writing, documentation, and presentation skills.
  • Basic understanding of software development, ERP systems, or software implementation projects.
  • Familiarity with the Software Development Life Cycle (SDLC) is an advantage.
  • Able to work effectively with customers, developers, implementation teams, QA testers, and management.
  • Strong organizational, planning, and follow-up skills.
  • Experience in project coordination, business analysis, software implementation, or technical documentation is preferred.

Role Summary

The Project Coordinator & Business Analyst serves as the primary bridge between customers, implementation consultants, and software developers. The role is responsible for gathering business requirements, preparing comprehensive functional and technical documentation, including URS and UAT documents, coordinating project implementation, managing project communications, and ensuring software solutions are delivered according to customer expectations, project scope, timeline, and quality standards.

Pay: RM3,000.00 - RM3,500.00 per month
