Role Summary
The HR & Administrative Manager functions as a central operations lead, overseeing the full spectrum of human resources, office administration, and basic financial coordination. This role is responsible for managing recruitment, payroll, office operations, and administrative workflows, while also supporting accounts management and acting as a key liaison with banks, local regulators, and outsourced accounting firms. The position plays a critical role in ensuring smooth day-to-day operations, regulatory compliance, and organizational efficiency.
Role Description
This is a full-time, on-site role based in KL and Japan for a Human Resources (HR) & Administrative Manager. The role extends beyond traditional HR responsibilities, acting as an operational backbone for the company by integrating HR, administration, and finance coordination functions.
The selected candidate will take ownership of end-to-end HR operations, including workforce planning, recruitment, onboarding, performance management, and offboarding processes. They will implement, maintain, and continuously improve HR policies and procedures to ensure alignment with related countries labor laws and company objectives.
In addition to HR responsibilities, the candidate will manage overall office administration, ensuring a well-organized, efficient, and productive workplace environment. This includes vendor management, office facilities oversight, procurement, and administrative process optimization.
The role also encompasses basic accounting and financial coordination duties, including supporting payroll processing, expense tracking, invoice handling, and working closely with outsourced accounting firms to ensure timely financial reporting and compliance. The candidate will liaise directly with banks for corporate banking matters and coordinate with local regulatory bodies to ensure all statutory and compliance requirements are met.
A key part of the role involves monitoring staff performance and office productivity, working closely with department heads to align HR initiatives with business goals, and ensuring high levels of employee engagement and accountability across teams.
The candidate will also act as a primary point of contact for employee relations, addressing concerns, resolving conflicts, and fostering a positive, performance-driven workplace culture. Regular reporting to senior management on HR, administrative, and operational matters is expected, along with proactive recommendations to improve organizational efficiency and scalability.
