Job Description

Responsibilities

Job Scope

Sales Support

  • Prepare and follow up on quotations for maintenance contracts, projects, repairs, and system upgrades.
  • Coordinate with customers on enquiries, service requests, and project schedules.
  • Prepare tenders, proposals, and supporting documents.
  • Assist the sales team in contract renewals and business development activities.
  • Maintain customer records and sales databases.
  • Identify opportunities to upsell maintenance contracts and fire protection system upgrades.

Customer Service

  • Respond promptly to customer enquiries via phone and email.
  • Schedule site visits and service appointments with customers.
  • Coordinate with engineers and technicians to ensure timely service delivery.
  • Handle customer complaints and escalate technical issues when necessary.

Administrative Support

  • Prepare purchase orders, delivery orders, invoices, and work orders.
  • Monitor project and maintenance documentation.
  • Maintain filing systems and company records.
  • Assist in inventory tracking and procurement of materials.
  • Coordinate with suppliers and subcontractors on deliveries and documentation.
  • Prepare monthly sales and operational reports.

Coordination

  • Liaise with engineers, project managers, and technicians on work schedules.
  • Ensure all documents required by clients are submitted on time.
  • Support the finance department in payment follow-ups and invoice reconciliation.

Requirements

  • Diploma, Higher NITEC, or equivalent qualification in Business Administration, Sales, Engineering, or a related field.
  • 2–5 years of experience in sales support, customer service, or administration.
  • Experience in the M&E, construction, or fire protection industry is an advantage.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience with ERP or accounting systems (e.g., SAP, MYOB, QuickBooks, Xero) is an advantage.
  • Able to multitask and work independently in a fast-paced environment.

Working Hours:

5.5 working days

Monday to Friday (9:00am-6:00pm)

Saturday (9.00am - 1.00pm)
