About the Company
A well-established and diversified Malaysian group is seeking a highly capable and discreet Personal Assistant to provide dedicated support to its Executive Chairman.
About the Role
This is a confidential, high-trust position supporting the Executive Chairman directly. The ideal candidate is polished, proactive, and able to operate with sound judgment, professionalism, and absolute discretion at all times.
Key Responsibilities
Provide comprehensive administrative and secretarial support to the Executive Chairman.
Manage complex calendars, appointments, meetings, and scheduling with tact and diplomacy.
Draft, edit, and proofread letters, documents, emails, reports, and proposals, and ensure timely follow-up on all matters requiring a response.
Handle confidential correspondence and sensitive information with the highest level of professionalism and discretion.
Coordinate travel arrangements including flights, accommodation, transportation, and visa applications, and travel alongside the Chairman when required.
Screen and manage incoming calls, emails, visitors, and correspondence on the Chairman's behalf.
Prepare meeting agendas, presentations, minutes, and follow-up action items.
Coordinate internal meetings, events, luncheons, and company functions, overseeing logistics for smooth execution.
Welcome and attend to clients, guests, and business associates in a professional manner.
Handle office administration, personal errands, and ad-hoc assignments as required.
Liaise professionally and confidentially with internal departments, external stakeholders, and business partners.
Prioritise effectively and manage urgent matters within tight deadlines.
Requirements
Bachelor's Degree in any discipline with 5+ years' experience as a Personal Assistant to a Director or Senior Management.
Valid Class D driving licence.
Proven experience in managing travel arrangements and personal errands.
Proficient in English and Bahasa Malaysia; ability to converse in Mandarin is an added advantage.
Strong command of Microsoft Office.
Excellent interpersonal skills and the ability to engage confidently with all levels of management, staff, and external parties.
Highly organised, detail-oriented, and able to complete tasks accurately with minimal supervision.
Demonstrates the highest standards of ethics and confidentiality.
A positive, can-do attitude with strong multitasking ability.
Flexible and committed, with willingness to work weekends or irregular hours when required.
Able to commit to a demanding schedule and frequent availability, given the nature of the role.
