Responsibilities
Degree in Office Management, Office Automation, Business Administration etc.
Conversant with SAGE 50, SAGE UBS, MSO 365
Familiar with IT
Working Experiences more than 3 years
Building, Fixed Asset and Office Equipment Maintenance
Ensure that office or factory building is in good, clean, secure and safe condition at all time by coordinating cleaning services etc.
Ensure that fixed asset (Hilux, company car, forklift, air-conditioner etc.) and office equipment (fax machine, printer, photocopier, PC, staff workstation etc.) is available and in good working order.
Ensure that stationaries, food and beverages and other consumables are available at all time and properly accounted for
Maintain & updated proper records and maintenance register of all related assets, stationaries and consumables
Resolve issues of all tenant renting company buildings including maintenance, rental etc.
Ensure all issues relating to utilities – water, electricity, telephone lines, plumbing are resolved
Develop ICT Maintenance Schedule and ensure maintenance being done and perform accordingly.
Develop crisis management plan / disaster recovery plan
Legal Matters
Ensure all legal requirements complied – business licenses, building grants, CF, road tax, building fire insurance etc. in order
Source and arrange for best options for insurance – motor vehicle, building fire insurance etc.
Coordinate legal needs of the company by coordinating services by legal firm and maintain documents on legal matters as and when needed
Work close/collaborate with Sales & Marketing Executive (Medical) including the PO, stock etc
Corporate Social Responsibilities including Wardatul Jannah
Organise and coordinate CSR activities of the company
Promote CSR activities to relevant external parties
Inculcate CSR culture among all employees
Health, Safety and Security
Maintain proper security system via engagement of security surveillance services, key and lock maintenance system etc.
Ensure continuous provision of personal safety equipment, first aid kit, fire extinguishers etc.
Ensure that office premises and other assets are at all times securely locked, protected and free from fire hazards, pests etc.
Conduct quarterly Safety Audit
Prepare relevant compliance report to DOSH and other related external agencies
Guest and Public Relations and Entertainment
Coordinating logistics for company suppliers, customers and guest
Coordinating logistics for company events either internally or externally
Document and Products Despatch and Collection
Coordinating needs for incoming and outgoing documents etc. via despatch services etc.
Maintaining records and monitoring performance of the above services
Cost Control and Monitoring
Monitor administrative overhead costs and implement measures for cost saving
