Job Description

Responsibilities

Sales Administration

  1. Plan and Manage a team of Sales Promoters
  • Ensure sales promoters submit monthly duty rosters and monthly sales report timely. Arrange for promoters’ outlet assignments, monitor promoters’ attendance , leave , and sales performance.
  • Prepare promoters’s monthly sell-out performance at outlets and roadshows to provide feedback and boost better future performance
  • Liaise with sales promoters on all matters related to Company’s roadshows and exhibitions, transport and other claims. Prepare timely the sell-out quantities by units and value after each roadshow in excel file template to pass on to accounts. Provide monthly sales report of roadshow performance .
  • Coordinate promoters’ requests for testers and samples for outlets and maintaining a record of testers issued and monitor their replenishment

2. Provide Sales and Administrative Support to Sales Team

a) Monitor daily sales orders to Zuellig by key accounts and assist in timely approval of these orders.

  • Monitor the sales order transactions by checking availability of stocks in Zuellig, and assist in the transfer of stocks to Zuellig if stocks are low. If stocks delivery to customer is unfulfilled initiate investigation why not delivered
  • Assist to request release of back orders once fresh stocks arrived in Zuellig
  • Conduct trade returns verification in customers warehouse and in Zuellig’s warehouse.
  • Assist customers in doing trade return via Ezrx or raising Return Order
  • Assist Sales Manager in the administrative and operational functions to ensure optimum smooth running of sales activities.

3. Social Media Marketing & Events

Events

  • Plan, organize, and execute company roadshows, exhibitions, and promotional events from preparation through to event closure. This includes amongst others :
  • Decide on what products to sell, what bundle offers to pack, what quantities and at what price after discussion with Sales and Marketing Manager . Provide a stock list ahead of schedule to Admin staff to give sufficient time to prepare stock.
  • Work closely with Admin team to prepare the stocks ahead of roadshows and to do stock top-up if necessary
  • Work closely with Admin team to arrange for transportation
  • Schedule promoters’s timetable for roadshows and events and to make quick adjustments to schedule to ensure smooth running of roadshows and events.
  • Prepare marketing materials and props including testers and samples
  • Ensure the safety and security of company stocks and properties during events
  • Conduct post-mortem after each event to evaluate its success and to gather feedback on how to do better

Marketing

  • Assist the Social Media team in coordinating product photography, video shoots, and content creation to produce engaging marketing materials.
  • Source and coordinate with UGC creators, influencers (KOLs), and content creators for product reviews and social media collaborations.
  • Manage and maintain the Garden of EDEN customer database, ensuring customer information remains accurate, organized, and updated for CRM and marketing campaigns.
  • Assist Admin team to fulfill e-commerce orders during peak campaign periods or when any Admin team member is on leave.
  • Identify and approach suitable brands, businesses, wellness centres, and strategic partners for marketing collaborations, sampling campaigns, and co-branding opportunities.
  • Support the execution of digital marketing campaigns, product launches, sampling activities, and promotional initiatives as assigned.

General Responsibilities

  1. Work closely with the Sales, Marketing, E-commerce and Admin teams to ensure projects are executed effectively.
  2. Prepare reports, presentations, and analysis for management meetings when required.
  3. Perform any other duties and responsibilities assigned by Management from time to time.
