POSITION SUMMARY

To organize, develop and effectively operate the Purchasing Department. To strictly follow the procedures of purchasing laid down by the Management with the objective of procuring the right merchandise at the right time and at the best available price.


KEY AREAS OF RESPONSIBILITIES

  • Oversee Company Procurement function, develop, establish, implement and enforce supplier guidelines, obligations and service level agreements to the organization.
  • Manage and control cost at targeted level.
  • Responsible for planning, developing and buying materials, parts, supplies and equipment in a timely and cost-effective way while maintaining appropriate quality standards and specifications.
  • Process and monitor delivery:

-Purchase requisition

-Purchase Order

-Regular supplies

  • Maintain proper planning and control system.
  • Maintain good relationship with suppliers (both local and oversea) and ensure product stability and service level.
  • Source new products and identify and qualify potential new suppliers to make cost effective.
  • Monitor and analyse trends in spending and inventory control and make recommendations to identify areas for saving.
  • Ensure that store inventories do not exceed desired limit.
  • Analyse trends and market conditions for pricing, availability, lead time and capacity of goods & services.
  • Make Purchase from Overseas, purchase of equipment and customized products.
  • Manage and control Repair & Maintenance and IT matters.
  • Assist in new outlet build up and project related matters.
  • Calculate costing for tenders and project.
  • Preparation of contracts and their terms, use of proper signatures and stamp papers as per existing laws, notation of expiry of contract period and advertising through local papers to invite tenders, etc.
  • Ensure that the items ordered have complete billing and delivery instructions and in case of default that penalty clauses are suitably added to the purchase orders as per the demand of the items.
  • Keep track of the pro-forma invoices and keeping close liaison with Accounts Department, in clearing documents in time.
  • Arrange periodic meetings with suppliers for management and ensure follow up on issues raised.


KEY REQUIREMENTS

  • Bachelor's degree in business, Supply Chain Management, Procurement, or a related field. A master’s degree is a plus.
  • Proven experience as a Procurement Manager or in a similar role, demonstrating progressive responsibility and leadership.
  • In-depth knowledge of procurement principles, practices, and regulations.
  • Ability to develop and implement procurement strategies aligned with overall business objectives.
  • Experience in strategic sourcing and cost management.
  • Strong understanding of supplier relationship management, including contract negotiation, performance evaluation, and risk assessment.
  • Proven ability to identify and onboard reliable suppliers while maintaining positive relationships.
  • Track record of optimizing procurement processes for efficiency, cost-effectiveness, and compliance.
  • Familiarity with procurement software and technology to streamline processes.
  • Clear and effective communication skills, both written and verbal.
  • Ability to collaborate with internal stakeholders and build strong cross-functional relationships.
  • Thorough understanding of procurement-related laws, regulations, and ethical standards.
  • Ensure procurement activities comply with organizational policies and legal requirements.
