Key Responsibilities
1. Customs Documentation & Reporting
- Prepare and submit monthly Customs M1 and M2 reports accurately and within the required timeline.
- Ensure compliance with customs regulations, import/export requirements, and company policies.
- Maintain proper customs documentation and records for audits and regulatory purposes.
2. Logistics Reporting
- Prepare monthly logistics reports, including shipment, inventory, and customs-related reports.
- Compile and submit reports required by management and other departments.
- Provide logistics data and analysis to support operational and business decisions.
3. Vendor Payment & Cost Settlement
- Verify vendor invoices against delivery orders, purchase orders, and service agreements.
- Process vendor payment requests accurately and on time.
- Follow up on invoice discrepancies and maintain proper payment records.
4. Documentation & Data Management
- Maintain accurate records of import/export shipments, invoices, delivery orders, and payment documents.
- Ensure proper filing and documentation in accordance with company procedures.
5. Customer & Internal Coordination
- Respond to enquiries related to shipment status, deliveries, and logistics operations.
- Coordinate with internal departments, suppliers, freight forwarders, and service providers to ensure smooth logistics operations.
6. Compliance & Audit Support
- Ensure all logistics activities comply with company policies and regulatory requirements.
- Support internal and external audits by preparing the required documentation and records.
7. Other Duties
- Perform other logistics and administrative duties, as well as ad hoc assignments, as assigned by the immediate superior.
Job Requirements
- Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Able to communicate in Mandarin to liaise with Mandarin-speaking colleagues, suppliers, and stakeholders.
- At least 1–2 years of relevant experience in logistics, supply chain, procurement, or a related field is preferred.
- Ability to maintain accurate records, manage contracts, handle supplier qualifications, and possess basic knowledge of contract administration and legal compliance.
- Strong analytical and numerical skills, with the ability to perform material planning and convert production plans into material supply plans.
- Excellent communication and coordination skills, with the ability to work effectively with cross-functional teams to resolve supply issues and ensure smooth operations.
- Familiarity with contract management processes and the ability to maintain consistent contract pricing records.
- Good understanding of logistics, procurement, or supply chain business processes.
- Proficient in Microsoft Office applications, particularly Excel.
- Detail-oriented, organized, and able to work independently in a fast-paced environment.
Pay: RM2,500.00 - RM3,200.00 per month
