The Procurement Manager will oversee end-to-end procurement operations for all retail product categories including fresh produce, chilled and frozen products, dry goods, imported products, beverages, household essentials, and specialty retail items.
This role is responsible for sourcing quality products, negotiating commercial terms, maintaining supplier relationships, optimizing inventory turnover, protecting gross margins, and ensuring product availability aligned with customer demand and business growth objectives.
The ideal candidate understands both retail grocery operations and commercial procurement strategy, with strong knowledge of supply chain management and category buying.
Key Responsibilities1. Procurement & Purchasing Management
- Manage end-to-end procurement activities across all product categories.
- Source local and international suppliers for grocery, fresh produce, imported goods, and specialty retail products.
- Negotiate pricing, payment terms, rebates, delivery schedules, and supplier agreements.
- Ensure procurement decisions support profitability targets and category growth.
2. Supplier Relationship Management
- Build and maintain strong partnerships with vendors, distributors, farmers, importers, and manufacturers.
- Conduct supplier evaluations based on pricing, consistency, product quality, and service reliability.
- Identify alternative suppliers to reduce procurement risk and avoid stock dependency.
- Lead supplier contract negotiations and annual commercial reviews.
3. Inventory Planning & Stock Management
- Monitor stock movement and purchasing patterns to maintain healthy inventory turnover.
- Forecast purchasing requirements based on sales trends, seasonal demand, promotions, and market behavior.
- Minimize stock wastage, spoilage, expiry losses, and overstock situations, particularly in fresh food categories.
- Work closely with store operations teams to improve stock availability and replenishment cycles.
4. Category Management & Commercial Performance
- Analyze product category performance including margins, sell-through rates, and product contribution.
- Recommend new product listings based on customer trends, market opportunities, and competitor benchmarking.
- Identify slow-moving products and execute procurement adjustments accordingly.
- Support pricing strategy to ensure competitiveness while protecting gross profit margins.
5. Supply Chain Coordination
- Coordinate closely with logistics and warehouse teams to ensure timely stock deliveries.
- Manage supplier lead times and purchasing schedules to prevent stock shortages.
- Oversee import procurement timelines and compliance requirements for international sourcing where applicable.
- Improve procurement processes to drive operational efficiency.
6. Quality Control & Compliance
- Ensure all products procured meet company quality standards and food safety requirements.
- Work with suppliers to maintain consistency in freshness, packaging, shelf life, and product standards.
- Ensure compliance with local regulatory requirements, import regulations, and retail product standards.
7. Reporting & Strategic Planning
- Prepare procurement reports covering purchasing spend, supplier performance, inventory trends, and margin analysis.
- Develop procurement budgets and cost-saving initiatives.
- Monitor market pricing fluctuations, competitor pricing trends, and industry developments.
- Support expansion plans by sourcing new suppliers and scaling procurement operations accordingly.
Requirements
- Bachelor’s Degree in Supply Chain Management, Procurement, Business, Retail Management, or related field.
- Minimum 4-8 years experience in procurement, category buying, or supply chain management.
- Experience in retail grocery, supermarket, FMCG, food distribution, or specialty retail is highly preferred.
- Strong supplier negotiation and contract management experience.
- Good understanding of inventory planning, demand forecasting, and stock turnover management.
- Experience handling fresh produce, perishables, imported products, or grocery retail purchasing is a strong advantage.
- Strong commercial acumen with ability to manage margins and cost control.
- Proficient in Excel, inventory management systems, ERP systems, and procurement reporting.
- Strong analytical and negotiation skills.
