Fleet Controller (Bulk Cement Tanker Operations)
Job Purpose
The Fleet Operations & Maintenance Executive supports daily fleet operations by coordinating vehicle availability, maintenance activities, driver-related operational matters, and fleet performance tracking.
This role works closely with drivers, workshop personnel, planners, and the Fleet Operations & Maintenance Controller to ensure fleet readiness, minimize downtime, maintain accurate operational records, and support efficient fleet utilization.
This is a high-impact role within a fast-paced fleet operation, where execution quality, responsiveness, and attention to detail directly contribute to fleet performance, operational reliability, and business success.

Key Responsibilities
1. Fleet Operations Coordination
- Monitor daily truck availability and fleet status.
- Update fleet movement, breakdown, and repair status records.
- Coordinate with drivers regarding vehicle assignments and operational issues.
- Escalate fleet disruptions, delays, breakdowns, and operational concerns to the Fleet Operations & Maintenance Controller.
- Support daily fleet deployment activities to ensure operational readiness.
2. Maintenance & Workshop Coordination
- Coordinate vehicle servicing, repairs, inspections, and preventive maintenance schedules.
- Monitor repair progress and follow up with workshop personnel on vehicle completion status.
- Maintain maintenance records, repair histories, and service schedules.
- Track vehicle downtime and ensure timely updates of repair status.
- Assist in monitoring recurring vehicle defects and breakdown cases.
3. Breakdown & Recovery Support
- Coordinate breakdown reporting and recovery arrangements.
- Follow up with drivers, workshops, and service providers regarding breakdown cases.
- Maintain records of breakdown incidents and repair actions taken.
- Support efforts to minimize vehicle downtime and operational disruption.
4. Accident & Incident Administration
- Assist in gathering accident reports, photographs, supporting documents, and driver statements.
- Coordinate insurance submissions and accident-related documentation.
- Maintain accident and incident records.
- Follow up on repair progress and case closure activities.
- Support investigations conducted by the Fleet Operations & Maintenance Controller.
5. Compliance & Inspection Coordination
- Coordinate vehicle inspections, permit renewals, and compliance-related activities.
- Arrange PUSPAKOM inspections and monitor inspection schedules.
- Follow up on defect rectification and compliance requirements.
- Maintain records of inspections, permits, and regulatory documents.
- Ensure fleet documentation remains current and organized.
6. Fleet Data & Reporting
- Update daily fleet status reports and vehicle availability records.
- Maintain records related to maintenance, fuel, accidents, and fleet performance.
- Assist in preparing fleet utilization, downtime, maintenance, and driver performance reports.
- Verify operational data accuracy and report discrepancies.
- Support management reporting and KPI tracking activities.
7. Driver Administration Support
- Monitor driver attendance and vehicle assignment records.
- Assist in documenting driver-related incidents and operational issues.
- Coordinate communication between drivers, planners, and workshop personnel.
- Maintain driver-related operational records and documentation.
Requirements
Essential Experience
- 1–3 years of experience in fleet operations, transport coordination, workshop administration, logistics operations, or related fields.
- Experience in bulk cement transportation, tanker operations, heavy haulage, construction logistics, quarry operations, or similar industries is preferred.
- Fresh graduates with strong interest in logistics and operations may be considered.
Technical Skills
- Good computer literacy (Microsoft Excel, Word, email, reporting tools).
- Ability to maintain accurate operational records and basic reporting.
- Familiarity with GPS tracking systems, fleet systems, or transport systems is an advantage.
Regulatory Knowledge
- Basic understanding of commercial vehicle operations is preferred.
- Exposure to PUSPAKOM inspections or JPJ regulations is an advantage.
- Willingness to learn transport compliance and fleet regulations.
Education
- Diploma or Degree in Logistics, Transportation, Supply Chain, Engineering, Automotive Studies, or related fields is preferred.
- Relevant operational experience may be considered in lieu of academic qualifications.
