Job Summary
The Reservation Agent is responsible for handling all room reservations in a courteous, professional, and efficient manner. This role ensures accurate processing of bookings, maximizes room revenue, and delivers excellent customer service while maintaining the standards of Dusit Princess Melaka.
Key Responsibilities
- Handle all reservation inquiries via phone, email, hotel website, and online travel agencies (OTAs).
- Process new reservations, modifications, and cancellations accurately in the Property Management System (PMS).
- Provide guests with accurate information on room types, rates, promotions, hotel facilities, and services.
- Ensure all reservation details are entered correctly and confirmed with guests.
- Coordinate with Front Office, Sales & Marketing, Housekeeping, and other departments regarding guest bookings and special requests.
- Monitor room availability and assist in maximizing occupancy and room revenue.
- Upsell room categories, packages, and hotel services whenever possible.
- Handle group reservations as assigned and liaise with the Sales team for group requirements.
- Maintain reservation records and ensure guest profiles are updated.
- Prepare daily reservation reports and arrival lists.
- Respond promptly and professionally to guest inquiries and complaints.
- Ensure compliance with hotel policies, reservation procedures, and data confidentiality.
- Assist with other administrative duties within the Reservations or Front Office department when required.
Job Requirements
- Diploma or Certificate in Hospitality, Tourism, Hotel Management, or a related field.
- Minimum 1 year of experience in Reservations, Front Office, or Guest Services in the hospitality industry. Fresh graduates are encouraged to apply.
- Good communication skills in English and Bahasa Malaysia.
- Knowledge of hotel reservation systems or Property Management Systems (e.g. Opera Cloud, Opera PMS, Fidelio, or similar) is preferred.
- Computer literate, especially in Microsoft Office applications.
- Strong customer service, interpersonal, and communication skills.
- Good organizational skills with attention to detail.
- Ability to multitask and work under pressure.
- Positive attitude, professional appearance, and a team player.
- Willing to work shifts, weekends, and public holidays.
