Job Description

Responsibilities

The Inside Sales Executive is responsible for managing assigned customer accounts by combining operational execution with proactive account development.


This role drives quotation management, order fulfillment, customer relationship and business growth, while working as an individual contributor or partnering closely with Account Managers (Outside Sales) to support major accounts, customer penetration, expansion, and pipeline development.


JOB SCOPE (Core Accountabilities)


  • Performance to KPIs – Deliver results aligned with key metrics and management business goals/objectives/initiatives
  • Drive revenue through proper quote qualification, timely turnaround, proactive follow-ups, and drive for conversion
  • Ensure smooth customer experience by managing order fulfillment, delivery/logistics, quality feedback, and issue resolution
  • Support account growth across major customers, developing accounts, and expansion opportunities
  • Build strong relationships while acting as the bridge between customers and internal back-end teams
  • Contribute to future business streams by actively qualifying leads and identifying new opportunities
  • Cultivate collaborative relationships with team members and colleagues


JOB RESPONSIBILITIES (What You’ll Do)


Quotation Management & Sales Conversion

  • Manage daily customer RFQs/BOMs and prepare accurate, timely quotations (BID/BUY/TURNS a.k.a. Shortages)
  • Qualify and gather key information including volume, application, pricing targets, and project/production timelines
  • Review and clean RFQs/BOMs using Excel (filtering, lookups) to improve efficiency
  • Proactively follow up on quotations to drive conversion to orders
  • Collaborate with Account Managers (Outside Sales) and Product Marketing on pricing strategy and supplier alignment
  • Support strategic quotes (SBDU) and ensure system accuracy after quote confirmation


Order Processing & Fulfillment

  • Review and validate incoming Purchase Orders (POs) for pricing, quantities, and delivery
  • Coordinate with Order Entry for PO processing and customer-specific requirements
  • Ensure accuracy and timely PO acknowledgement
  • Handle urgent orders, shortages, and special processing when required


Backlog Management & Fulfillment

  • Manage open orders (backlog) to ensure on-time delivery
  • Provide customers with regular/scheduled open orders reports and updates
  • Review and action delivery reschedules, expedite requests, shipment releases
  • Monitor and mitigate risks on line-down situations, supply shortages, and delivery delays


Customer Relationship Management

  • Act as the primary point of contact on behalf of customers in facilitating operational requirements and/or resolving issues such as delivery delays, price discrepancies / increases, order rejections / modification, RMA / quality concerns, required documentation (Trade Compliance & Regulation, NCNR, sales-related forms, etc.)
  • Maintain clear and proactive communication with customers and ensure timely responses on inquiries, requests (including adhoc), and updates
  • Engage with customers through phone, email, chat, and face-to-face meetings to manage expectations, resolve issues, or identify opportunities


Cross-Functional Collaboration

  • Collaborate closely with relevant stakeholders to ensure alignment to meet customer expectations: Account Managers (Outside Sales), Product Marketing (pricing, supplier coordination), Customer Service & Asset Management (Order Entry & Backlog management), Supply Chain (BIM programs, Forecast alignment), Trade Compliance (Account Creation & Export Compliance), Credit (Payment Terms & Invoicing), Warehouse (Shipping & Logistics), Inside Sales Team Lead/Manager (Escalations, Guidance)


Account Management Scope

  • Manage established accounts with steady order fulfillment and partner closely with Account Managers to maintain account stability
  • Manage developing accounts to increase frequency and consistency of orders through proactive engagement, and follow-ups (Customer Penetration)
  • Expand presence within accounts to gain greater exposure & visibility to opportunities, identifying new projects and cross-selling opportunities (Customer Expansion)
  • Qualify new Leads, gather key information (demand, application, volume, decision-maker), support onboarding & account setup to build a pipeline of qualified opportunities for future growth (Pipeline Development)


Compliance, Systems & Process Execution

  • Understand & follow all company policies, internal SOPs and sales operational processes (listed in intranet Hub)
  • Ensure working knowledge of all sales-related systems, tools & resources
  • Maintain accurate data in CRM, sales-related systems and other reporting tools
  • Participate in required learning & development plans through OJT, L&D training sessions, and online/virtual sessions (iLearn)


QUALIFICATIONS

  • Preferably Diploma or “A” Level


EXPERIENCE

  • At least 1 year of experience in Inside Sales, Customer Service, Marketing


COMPETENCIES (Knowledge, Skills & Attitudes)

  • Attention to detail; Great follow-up skills; Computer skills; Communication skills; Good Interpersonal skills and a Team player
  • Can manage multiple priorities in a fast-paced environment
  • Experience in handing CRM and Quoting systems or similar system tools
  • Functional knowledge of MS Excel, including Sorting, Filtering, VLook-up, Basic formula utilization to do basic analysis of customers RFQs/BOMs to prioritize quote activities and maximize quote/close ratio.
  • Basic semiconductor, passive, interconnect and electromechanical product knowledge – part recognition, basic part crossing.
