Location: Kuala Lumpur

Salary: RM 4,000.00 to RM 6,000.00

Reports To: Head of Legal, Secretarial & HR

Role Level: Senior Operational HR Execution, Review and Coordination


Job Purpose

  • To execute, review and coordinate payroll processing, statutory administration and core HR operational functions for JSB and assigned subsidiaries. The role provides senior operational support by ensuring payroll accuracy, HR documentation completeness, statutory compliance, HR2000 updates, insurance and benefits administration, audit documentation support, training coordination and general HR administration are completed accurately and within required timelines. The role also supports HR operational continuity by guiding HR Executive II and assigned HR support personnel under the supervision of the Head of Legal, Secretarial & HR.


Key Responsibilities

Payroll Processing, Review and Payroll Administration

  • Execute and review the monthly payroll cycle for JSB and assigned subsidiaries, including salary computation, allowances, deductions, overtime, medical claims validation and payslip issuance.
  • Review payroll inputs, supporting schedules and payroll reports prepared by HR Executive II or assigned HR personnel before submission for approval by Head of Human Resource, Finance and/or Management where required.
  • Liaise with Finance on payroll payment confirmations, reconciliations, payroll-related adjustments and cost allocation matters.
  • Coordinate with HR2000 on payroll system updates, troubleshooting, configuration matters and user/process improvements within assigned authority.
  • Prepare and review final salary calculations for resigned employees based on approved resignation documentation, including notice period, annual leave, unpaid leave, deductions and related payroll adjustments.
  • Prepare and review monthly transfer pricing/payroll cost recharge calculations to subsidiaries, where applicable.
  • Maintain payroll controls, checklists and supporting documents to ensure accuracy, confidentiality and audit readiness.


Statutory Contributions and Compliance Administration

  • Process and review monthly statutory contributions including EPF, SOCSO, EIS and HRD Corp based on approved payroll data.
  • Arrange statutory payments and follow up on discrepancies, penalties, late payment matters or compliance issues, escalating matters to Head of Legal, Secretarial & HR and/or VP II - HR where required.
  • Maintain and update employee movement records in relevant statutory systems, including MyTax updates and CP22A submissions for resigning employees.
  • Liaise with statutory bodies on operational matters, clarifications and compliance requirements within assigned scope.
  • Monitor statutory submission deadlines and maintain proper records to support compliance, audit and management review.
  • Provide guidance to HR Executive II on statutory documentation, employee movement updates and routine compliance administration.


HR Records, Documentation and General Administration

  • Oversee and maintain accurate employee personal files, payroll files, HR records and HR documentation to support audit and compliance readiness.
  • Prepare and review HR letters, memos, confirmations, forms and internal correspondence using approved templates and instructions from Head of Legal, Secretarial & HR.
  • Update and monitor employee data in HR systems and trackers accurately and on a timely basis.
  • Handle day-to-day HR operational queries from employees and escalate policy, disciplinary, grievance, sensitive or non-routine matters to Head of Legal, Secretarial & HR.
  • Coordinate and monitor the Company’s weekly Monday Breakfast initiative, including vendor liaison, documentation, invoice/receipt compilation and submission for payment processing and record-keeping.
  • Manage procurement and distribution of staff birthday cards and gifts within approved budget and process, and ensure records are properly maintained.
  • Prepare, coordinate and review HR-related RFP documentation, including compiling requirements, liaising with vendors, maintaining supporting documents and submitting complete RFP files for review, evaluation and approval by the relevant approver or Management.
  • Guide and support HR Executive II in completing routine HR administrative matters accurately and within required timelines.


Recruitment and Onboarding Support

  • Coordinate recruitment administration after hiring requirements have been approved, including interview logistics, candidate documentation and recruitment records where assigned.
  • Prepare and review onboarding checklists, new joiner forms, employee file opening and HR system/data entry for new employees.
  • Coordinate onboarding, induction and new employee documentation with relevant departments and internal stakeholders.
  • Support preparation of employment-related documents based on approved terms and authorised templates, subject to review by Head of Legal, Secretarial & HR and/or Management where required.
  • Maintain candidate and recruitment-related records when assigned.
  • This role does not independently decide candidate sourcing strategy, shortlisting outcome, interview assessment, hiring decisions or employment contract terms unless specifically authorised by Head of Legal, Secretarial & HR.


Offboarding Administration

  • Coordinate offboarding administration for resigned employees based on approved resignation acknowledgement/acceptance letters and confirmed last working dates.
  • Prepare and review payroll-related offboarding actions, including final salary, annual leave, notice period, unpaid leave, deductions and other related adjustments.
  • Coordinate clearance documentation, employee records, statutory updates and handover-related administrative matters with relevant departments.
  • Ensure offboarding documents and final payroll records are properly filed for audit and compliance purposes.
  • Escalate disputes, exceptional cases, disciplinary issues or sensitive exit matters to Head of Legal, Secretarial & HR.


Insurance and Employee Benefits Administration

  • Coordinate and review staff movement updates with the insurance broker/provider, including new hires, resignations and employee status changes.
  • Liaise with the insurance provider on routine queries, verification and documentation requirements.
  • Maintain insurance movement records, benefits documentation and supporting documents accurately.
  • Assist in compiling information for insurance renewal, benefits administration and employee benefits reporting where required.
  • Escalate coverage, renewal, claims dispute or benefits policy matters to Head of Legal, Secretarial & HR.


Audit, Tax and Reporting Support

  • Prepare and review payroll records, employee files, statutory documents and supporting schedules for Head of Legal, Secretarial & HR, Finance, auditors and Management where required.
  • Support year-end payroll activities, including payroll data validation, reconciliation and preparation of annual reporting data.
  • Prepare and distribute annual EA Forms for employees of JSB and assigned subsidiaries, and for Company Directors where applicable.
  • Prepare and submit company e-Filing requirements, including CP8D and E Forms, for assigned entities based on approved data and timelines.
  • Prepare HR operational reports, payroll summaries, employee movement reports and other HR data as required by Management.
  • Maintain proper filing of audit, tax submission and reporting documents.


Learning and Development Coordination

  • Coordinate staff training logistics, including liaison with training providers, participants and internal stakeholders.
  • Prepare and review training attendance records, supporting documents and payment/supporting paperwork where required.
  • Prepare and submit HRDC grant applications and compile supporting documents to ensure administrative compliance.
  • Monitor training records, HRDC documentation and utilisation records for reporting and audit purposes.
  • Guide HR Executive II or assigned HR personnel in maintaining accurate training and HRDC documentation.


Process Improvement and Team Support

  • Identify and propose improvements to HR administrative processes, payroll documentation, trackers, checklists and filing practices.
  • Support implementation of approved HR procedures, templates and controls to improve consistency and operational efficiency.
  • Provide day-to-day guidance to HR Executive II, interns or assigned HR support personnel on routine HR operational matters.
  • Assist in monitoring HR operational deadlines and following up with relevant stakeholders to ensure timely completion of assigned matters.
  • Maintain confidentiality, professionalism and accuracy in all HR matters.


Other Duties

  • Ensure assigned HR tasks are completed accurately, confidentially and within required deadlines.
  • And any other duties as required by the Head of Legal, Secretarial & HR.


Job Requirements

  • Minimum 5 years of experience in executing payroll.
  • Able to work independently with minimum supervision.
  • Able to multitask and work in a collaborative environment.
