Job Description

Responsibilities

Key Responsibilities

1. Execution Tracking & Accountability

  • Maintain a live, accurate dashboard of all committed priorities, projects, and milestones across departments
  • Follow up directly with department managers and leaders on outstanding deliverables — no passive tracking
  • Identify execution gaps, delays, and stalled priorities and escalate to the Performance Director proactively
  • Ensure all commitments made in weekly and monthly reviews are closed or formally rescheduled

2. Leadership Performance Reviews

  • Assist the Performance Director in preparing for and conducting structured weekly leadership performance reviews
  • Document outcomes, agreed actions, and accountability owners from each review session
  • Track leader follow-through week over week and flag recurring gaps in execution or commitment
  • Ensure no review cycle ends without clear next actions, owners, and deadlines

3. Priority Alignment & Strategic Focus

  • Monitor whether active department projects and leader time allocation align with the company's stated priorities
  • Identify drift, distraction, or misalignment early and bring it to the Performance Director's attention
  • Support the performance director to reset priorities across leaders on a weekly and monthly basis
  • Ensure high-impact priorities receive time and attention; surface low-value activity consuming leadership bandwidth

4. Time Discipline & Calendar Governance

  • Review and audit leader time allocation patterns to ensure strategic work is protected and blocked
  • Identify leaders operating in reactive mode and coordinate with the Performance Director on intervention
  • Support the implementation of time-blocking discipline and morning command check habits across the leadership team
  • Track meeting output quality — whether decisions are being made, not just discussed

5. Decision Quality Support

  • Prepare briefing materials and progress summaries to support structured, informed decision-making by the Performance Director
  • Surface assumptions, trade-offs, and risks that need to be resolved before execution begins
  • Document decisions made, reasoning behind them, and intended outcomes for institutional memory
  • Follow up post-decision to confirm agreed actions were implemented as intended

6. Executive Reporting & Visibility

  • Prepare concise weekly and monthly performance reports for the Performance Director covering strategic progress, execution risks, and leadership performance trends
  • Maintain and update the Performance Department's tracking systems, dashboards, and communication tools
  • Ensure management has real-time visibility into the organisation's execution health at all times
  • Contribute to recommendations for interventions, priority shifts, and accountability resets based on patterns observed

7. Department Operations

  • Manage day-to-day operations of the Performance & Strategy Department including scheduling, documentation, and coordination
  • Support onboarding of new Performance Department team members and ensure they are embedded into tracking rhythms quickly
  • Continuously improve the tools, templates, and processes used for execution oversight
  • Act as a trusted operations partner to the Performance Director — freeing up strategic bandwidth by owning operational follow-through

Qualifications & Requirements

Essential

  • Bachelor's Degree in Psychology, Business, Management, Operations, or a related field
  • 5+ years of experience in operations management, project management, executive coordination, or a performance / strategy function
  • Demonstrated ability to manage multiple priorities simultaneously with high accuracy and low error rate
  • Strong written and verbal communication skills — able to produce clear, concise briefing documents and follow-up summaries
  • Comfortable working directly with senior leaders; able to hold people accountable without being confrontational
  • High personal discipline and follow-through — does not drop tasks or wait to be chased
  • Proficient with tracking tools and productivity systems (Google Sheets, HubSpot, project management tools)

Preferred

  • Experience in a fast-growth SME, startup, or multi-brand organisation
  • Prior exposure to performance management frameworks, OKRs, or BOSS-style operating systems
  • Background in coaching, business operations, or chief-of-staff-type roles
  • Comfort working in high-accountability environments where outputs — not hours — define success

Pay: From RM5,500.00 per month
