Key Responsibilities
1. Internal Operations & Daily Execution
- Run the daily operations standup — ensure all teams are aligned on priorities, blockers are surfaced early, and the day is structured
- Ensure all internal operational workflows are running on schedule with no unnecessary delays or gaps
- Spend time on the ground with teams regularly — observe how work is actually happening and act on what you see
- Cross-check verbal updates against observable reality; do not manage from reports alone
- Remove internal blockers that slow down other departments — act as the operational glue between teams
2. Systems, SOPs & Process Improvement
- Build, document, and maintain SOPs for all internal operational workflows — facilities, logistics, vehicle management, material handling, and team routines
- Apply the DSAA methodology (Delete, Simplify, Accelerate, Automate) to every recurring process before adding tools or headcount
- Review all operational processes on a regular cadence; treat inefficiency as a signal, not a norm
- Ensure process changes are documented, communicated clearly, and measured by their actual impact
- Own the operational process library — keep it current, accessible, and acted upon
3. People Management & Team Development
- Directly manage and develop the team members within the Operations function — set clear expectations, hold accountability, and grow capability
- Ensure every task and outcome within the team has exactly one clear owner — no ambiguity, no shared blame
- Conduct regular 1:1s, give real-time feedback, and coach team members through action rather than theory
- Keep the team informed — share updates good and bad, and acknowledge contributions visibly
- Proactively identify capacity issues within the team before they become performance problems
4. Facilities & Office Management
- Manage all physical workplace needs — office spaces, meeting rooms, storage, common areas, and operational zones
- Ensure the workspace is clean, functional, safe, and reflects the standards of a professional organisation
- Coordinate maintenance, repairs, and facility improvements — follow through until issues are fully resolved
- Manage access systems, utility needs, and building management relationships
- Ensure the physical environment supports team productivity and reflects well on SOLS Energy
5. Materials, Inventory & Store Management
- Manage the operational stores — ensure items are correctly organised, accounted for, and accessible to the teams that need them
- Coordinate movement of materials between storage areas in line with operational needs
- Maintain cleanliness and order across all storage and operational spaces
- Support Supply Chain with physical inventory checks when needed
- Ensure no operational team is delayed due to disorganised or inaccessible materials
6. Reporting & Upward Communication
- Provide the Director of Operations with a clear, accurate weekly update on all operational matters — people, facilities, logistics, and process improvement progress
- Report on KPIs consistently without being chased — timeliness is a non-negotiable
- Surface blockers with proposed solutions, not just problems
- Flag risks early so the Director can make informed decisions with enough lead time
- Maintain a short monthly summary of improvements made, issues resolved, and outstanding items
Qualifications & Requirements
Essential
- Minimum 5 years of experience in an operations, facilities, or office management leadership role
- Demonstrated ability to build and maintain SOPs, accountability structures, and team routines from scratch
- Strong people management skills — able to develop, coach, and hold team members accountable
- Organised and detail-oriented — you notice what is out of place and act on it without being told
- Clear communicator in both English and Bahasa Malaysia — written and verbal
- Comfortable using Google Workspace tools and learning new digital systems quickly
- High follow-through — tasks do not fall through the cracks under your watch
- Ground-level orientation — you manage by being present, not by reading reports from a desk
Preferred
- Background in facilities management, logistics, field operations, or a service-delivery organisation
- Experience using AI tools (Claude, Gemini, ChatGPT) to improve team productivity and documentation
- Familiarity with continuous improvement approaches such as DSAA, Lean, or Kaizen
- Experience in a fast-growing SME where roles are broad and ambiguity is part of the job
- Exposure to B40, social enterprise, or mission-driven organisations is an advantage
Pay: From RM5,500.00 per month
