Job Summary
We are looking for a proactive and detail-oriented Sales & Operations Executive to support the day-to-day sales operations while ensuring seamless coordination between customers, sales, warehouse, logistics, and internal teams. The ideal candidate will be responsible for managing customer orders, improving operational efficiency, supporting sales activities, and ensuring excellent customer service.
Key Responsibilities
Sales Operations
- Process customer orders accurately and ensure timely fulfillment.
- Manage customer accounts and maintain strong customer relationships.
- Prepare quotations, sales orders, invoices, and purchase orders.
- Monitor sales performance and prepare daily, weekly, and monthly sales reports.
- Support the sales team in achieving revenue and customer acquisition targets.
- Follow up on customer enquiries, quotations, and outstanding orders.
Operational Support
- Coordinate with warehouse and logistics teams to ensure timely deliveries.
- Monitor inventory levels and work with the procurement team to maintain stock availability.
- Resolve operational issues relating to deliveries, stock shortages, and customer complaints.
- Ensure order accuracy and compliance with company SOPs.
Customer Service
- Handle customer enquiries professionally via phone, email, and WhatsApp.
- Provide product information, pricing, and order updates.
- Manage after-sales support and coordinate issue resolution.
Data & Reporting
- Maintain accurate customer and sales records in the CRM/ERP system.
- Generate sales, inventory, and operational reports.
- Analyse sales trends and identify opportunities for process improvements.
- Monitor KPIs and prepare performance dashboards.
Cross-functional Coordination
- Work closely with Procurement, Finance, Marketing, Warehouse, and Logistics teams.
- Coordinate promotional campaigns and product launches.
- Assist in implementing operational improvements to increase efficiency.
Additional Responsibilities
- Provide on-site operational support during corporate events, product launches, roadshows, exhibitions, and customer activations, including setup, coordination, and ensuring smooth event execution.
- Conduct inventory cycle counts at customer premises according to the agreed schedule to ensure stock accuracy and compliance.
- Reconcile inventory discrepancies and work closely with customers and internal teams to investigate and resolve variances.
- Prepare cycle count reports and maintain accurate inventory records.
- Build and maintain strong working relationships with customers during on-site visits while ensuring a high standard of service.
- Be willing to travel to customer locations and work outside normal business hours, including weekends or public holidays, when required for events or operational activities.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Sales, Operations Management, Supply Chain, or a related field.
- 1–3 years of experience in Sales Operations, Customer Service, Operations, or Sales Administration.
- Proficient in Microsoft Excel, Word, and PowerPoint.
- Experience using ERP or CRM systems is an advantage.
- Strong analytical, communication, and organisational skills.
- Ability to multitask and work in a fast-paced environment.
Pay: RM1,500.00 - RM2,500.00 per month
