Key Responsibilities
1. Fleet Scheduling & Deployment
- Plan and coordinate daily vehicle scheduling to support installation teams, field operations, and programme delivery across all SOLS brands.
- Ensure vehicles are allocated appropriately based on job requirements, route efficiency, and driver or operator availability.
- Maintain a live fleet deployment tracker with real-time visibility of vehicle status, location, and assignment.
- Anticipate scheduling conflicts and resolve them proactively — no missed installations due to transport failures.
- Coordinate with Installation, Technical, Operations, and Programme teams on transport needs in advance.
2. Vehicle Maintenance & Roadworthiness
- Own the preventive maintenance schedule for all company vehicles — servicing, inspections, and repairs are completed on time and never deferred without escalation.
- Conduct or coordinate regular vehicle condition checks and ensure all vehicles meet roadworthiness standards at all times.
- Manage relationships with workshops, service providers, and vendors for cost-effective, quality maintenance work.
- Track maintenance costs per vehicle and flag anomalies or recurring issues for root cause analysis.
- Ensure all breakdowns are responded to promptly and do not cause operational downtime beyond acceptable thresholds.
3. Compliance & Regulatory Management
- Ensure all company vehicles maintain valid road tax, insurance, puspakom inspections, and permits at all times.
- Maintain a forward-looking compliance calendar with zero last-minute renewals or lapses.
- Ensure all fleet operations comply with JPJK regulations, company insurance requirements, and applicable road transport laws.
- Manage and maintain accurate documentation for all vehicles — registration cards, insurance certificates, service records, and permit approvals.
4. Transport Coordination for Field Operations
- Coordinate last-mile transport for solar panel deliveries, equipment, and tools to project sites — working closely with SCM and Installation.
- Ensure delivery orders, manifests, and transport documentation are prepared accurately and on time.
- Monitor and track delivery progress to project sites and communicate status proactively to relevant departments.
- Escalate any delivery delays or transport risks immediately and propose workable solutions.
- Support logistics operations outside Klang Valley as required, ensuring consistent standards across regions.
5. Cost Management & Reporting
- Track and report on all fleet-related costs including fuel, maintenance, tolls, and transport expenses.
- Identify cost-reduction opportunities without compromising reliability or compliance.
- Maintain accurate records for internal reporting and support finance reconciliation of transport-related expenses.
- Prepare regular fleet performance reports for the Logistics Director covering utilisation rates, downtime, and cost trends.
6. Systems, SOPs & Department Building
- Build and maintain clear SOPs for all core logistics processes — scheduling, maintenance, compliance, and documentation.
- Implement and manage logistics tools or software to maintain visibility of fleet status, maintenance schedules, and deployment history.
- As the department grows, support the onboarding and training of new logistics staff on systems and standards.
- Continuously identify and eliminate inefficiencies in logistics workflows — apply the Delete, Simplify, Accelerate, Automate discipline.
- Support the Logistics Director in shaping the department's structure, capacity, and long-term operational playbook.
Qualifications & Requirements
Essential
- Diploma or Bachelor's degree in Logistics, Transport Management, Operations, Business Administration, or a related field — or equivalent hands-on experience.
- Minimum 3–5 years of experience in fleet management, transport coordination, or logistics operations.
- Demonstrated ability to manage vehicle compliance, maintenance scheduling, and transport coordination independently.
- Strong organisational skills with the ability to manage multiple priorities and time-sensitive deployments simultaneously.
- Proficiency in Microsoft Office (Excel, Word) and familiarity with logistics or fleet management tools.
- Clear and professional communication skills — able to coordinate across departments and with external vendors.
- Ownership mindset: comfortable operating with minimal supervision and building systems from the ground up.
Preferred
- Experience working in a solar energy, construction, utilities, or field-operations environment.
- Exposure to building or improving logistics SOPs, fleet tracking systems, or reporting frameworks.
- Familiarity with Malaysian road transport regulations, JPJK compliance, and vehicle licensing requirements.
- Experience coordinating logistics outside Klang Valley — interstate deployments or multi-site operations.
Pay: From RM5,500.00 per month
