Job Description

Responsibilities

The Procurement Specialist is responsible for sourcing, purchasing, and managing the supply of materials, components, and services required for manufacturing operations. The role ensures the timely procurement of quality products at competitive prices while maintaining strong supplier relationships and supporting production schedules.

The Procurement Specialist works closely with Engineering, Production, Quality, Warehouse, and Finance to ensure uninterrupted material availability and continuous improvement of procurement processes.

Key Responsibilities Procurement & Purchasing

  • Source and procure raw materials, components, equipment, and services in accordance with company requirements
  • Issue Requests for Quotation (RFQs), evaluate supplier quotations, and negotiate pricing, delivery schedules, payment terms, and contractual conditions
  • Create and manage Purchase Requisitions (PRs) and Purchase Orders (POs)
  • Monitor order status and ensure on-time delivery of purchased items
  • Coordinate with suppliers to resolve delivery delays, shortages, and quality issues
  • Maintain accurate procurement records and purchasing documentation

Supplier Management

  • Identify, evaluate, and develop new suppliers.
  • Conduct supplier performance evaluations based on quality, delivery, cost, and service.
  • Maintain strong relationships with existing suppliers to ensure long-term supply reliability.
  • Support supplier audits and qualification activities where required.
  • Work with suppliers on cost reduction and continuous improvement initiatives.

Inventory & Material Planning

  • Collaborate with Production Planning to ensure material availability.
  • Monitor inventory levels and recommend reorder quantities.
  • Minimize excess inventory while preventing stock shortages.
  • Support inventory accuracy through regular stock reviews and reconciliation.
  • Coordinate with Warehouse personnel on incoming materials and storage requirements.

Cross-Functional Collaboration

  • Work closely with Engineering on new product sourcing and alternative component selection.
  • Coordinate with the Quality team to address supplier quality issues.
  • Support Finance by ensuring timely invoice matching and resolving purchasing discrepancies.
  • Assist Logistics in coordinating inbound shipments and customs clearance.

Cost Management

  • Identify opportunities for cost savings through supplier negotiations and strategic sourcing.
  • Conduct price comparisons and market analysis.
  • Support annual budgeting and procurement cost planning.
  • Track procurement savings and report key purchasing metrics.

Compliance & Documentation

  • Ensure procurement activities comply with company policies and procedures.
  • Maintain supplier contracts, agreements, and purchasing records.
  • Ensure compliance with import/export regulations and company quality standards.
  • Support internal and external audits by providing procurement documentation.

Qualifications

  • Bachelor's Degree or Diploma in Supply Chain Management, Procurement, Business Administration, Logistics, Engineering, or a related field.
  • Minimum 3 years of procurement or purchasing experience in a manufacturing environment.
  • Experience with ERP or MRP systems is preferred.

Pay: RM4,500.00 - RM6,000.00 per month
