We're looking for an energetic, highly organised Event Operations Specialist who thrives in a fast-paced environment and enjoys turning complex event plans into seamless experiences.
About the Role
As an Event Operations Specialist, you will play a critical role in delivering premium conferences and exhibitions from planning through execution. You will coordinate suppliers, manage event logistics, support exhibitors and sponsors, and ensure every delegate enjoys an exceptional event experience. This role is ideal for someone who enjoys problem-solving, working under pressure, travelling, and taking ownership of event delivery.
Key Responsibilities
Event Planning & Logistics
- Coordinate all operational requirements for conferences, exhibitions, networking events and gala dinners.
- Develop detailed event timelines and operational checklists.
- Manage venue coordination, floor plans and room setups.
- Coordinate event registrations, badge printing and delegate flow.
- Oversee signage, branding and venue setup.
Vendor & Supplier Management
- Liaise with venues, AV companies, contractors, decorators, printers, freight providers and other suppliers.
- Obtain quotations and manage procurement.
- Ensure all suppliers deliver according to schedule and specification.
- Monitor budgets and operational expenses.
Speaker & Sponsor Support
- Coordinate speaker logistics and presentation management.
- Manage sponsor deliverables before and during events.
- Ensure exhibition booths are ready before opening.
- Support VIP guests and keynote speakers.
Onsite Event Delivery
- Lead event setup and dismantling.
- Coordinate registration teams and volunteers.
- Troubleshoot operational issues quickly and professionally.
- Ensure sessions start on time and run smoothly.
- Maintain high standards of customer service throughout the event.
Inventory & Administration
- Maintain event equipment and inventory.
- Prepare post-event reports and operational reviews.
- Continuously improve operational processes and documentation.
Who We're Looking For
- 2–5 years' experience in event operations, exhibitions, conferences or hospitality.
- Excellent organisational and multitasking skills.
- Strong attention to detail.
- Able to remain calm under pressure and solve problems quickly.
- Strong communication and interpersonal skills.
- Comfortable working outside normal office hours during event periods.
- Willingness to travel internationally.
- Proficient in Microsoft Office and Google Workspace.
- Experience with event registration platforms is an advantage.
