Job Description

Responsibilities

Position Summary

The Executive Assistant provides high-level administrative, coordination, and executive support to the General Manager (GM). The role focuses on corporate operations, business coordination, and stakeholder management, requiring discretion, organizational capability, and professional judgement.

1. Executive Coordination and Calendar Management

  • Manage and optimize the GM’s schedule, including planning meetings, appointments, and business engagements
  • Coordinate across internal departments and external stakeholders to ensure effective time management
  • Exercise judgement in scheduling to support business objectives

2. Corporate Administration and Documentation Governance

  • Review and coordinate documentation for approval, ensuring compliance and legal clearance whererequired
  • Ensure accuracy, completeness, and adherence to corporate procedures
  • Maintain confidentiality of sensitive corporate information

3. Meeting and Business Operations Support

  • Coordinate meeting logistics and materials
  • Support execution of meetings with senior stakeholders
  • Facilitate communication and follow-ups

4. Expense Management

  • Prepare and process expenses claims in compliance with company policies
  • Maintain proper records for audit purposes

5. Business Travel and Mobility Coordination

  • Arrange travel including flights and accommodation
  • Coordinate travel documentation and regulatory requirements
  • Ensure submission of required declarations (e.g. SG Arrival Card)

6. Stakeholder Liaison

  • Coordinate between GM and internal/external stakeholders
  • Manage administrative interactions with service providers and partners
  • Ensure timely follow-ups

7. Accommodation and Relocation Support

  • Coordinate accommodation-related administrative matters
  • Liaise with property agents and service providers
  • Oversee maintenance coordination in an administrative capacity

8. Ad Hoc Professional Support

  • Provide administrative support for business needs
  • Coordinate time-sensitive tasks
  • Undertaking responsibilities consistently with an executive assistant role
