Job Description

Responsibilities

The Catering Coordinator is responsible for coordinating and managing catering bookings, customer communications, event planning, and operational arrangements to ensure every catering event is executed efficiently and professionally. The role acts as the key liaison between customers and internal departments to deliver high-quality catering services while achieving customer satisfaction and business objectives.

Key Responsibilities1. Catering Sales & Customer Service

  • Respond promptly to customer enquiries regarding catering services.
  • Prepare catering quotations, proposals, and event confirmations.
  • Follow up on customer enquiries to secure bookings.
  • Maintain strong relationships with new and existing customers.
  • Promote the Company's catering packages and services.

2. Event Coordination

  • Coordinate all catering events from booking confirmation until event completion.
  • Prepare event orders and operational instructions for all departments.
  • Confirm customer requirements, including menu selection, event schedule, venue, and special requests.
  • Ensure all event details are communicated accurately to the Operations and Kitchen teams.
  • Conduct site visits when required.

3. Operational Coordination

  • Coordinate with the Kitchen, Purchasing, Logistics, and Operations teams to ensure timely preparation and delivery.
  • Arrange manpower, transport, equipment, and event setup requirements.
  • Monitor event preparation timelines and ensure readiness before each event.
  • Assist in supervising catering event setup and dismantling when required.

4. Documentation & Administration

  • Prepare catering contracts, invoices, delivery orders, and related documents.
  • Maintain accurate customer and event records.
  • Update booking schedules and event calendars.
  • Ensure all documentation is complete and properly filed.

5. Inventory & Equipment Coordination

  • Coordinate the preparation and return of catering equipment.
  • Ensure equipment is properly recorded before dispatch and upon return.
  • Report any damaged or missing equipment to Management.
  • Coordinate equipment maintenance when necessary.

6. Customer Satisfaction

  • Follow up with customers after events to obtain feedback.
  • Resolve customer complaints promptly and professionally.
  • Recommend service improvements based on customer feedback.
  • Maintain high standards of customer service throughout the event process.

7. Financial Coordination

  • Prepare deposits and payment schedules.
  • Follow up on outstanding customer payments in coordination with the Accounts Department.
  • Ensure invoices and receipts are issued accurately.
  • Assist in monitoring catering sales performance.

8. Reporting

  • Prepare daily, weekly, and monthly catering reports.
  • Monitor booking trends and sales performance.
  • Report event outcomes, customer feedback, and operational issues to Management.
  • Maintain records of completed catering events.

9. Compliance

  • Ensure catering operations comply with Company SOPs, food safety, hygiene, and Halal requirements.
  • Verify that event documentation and operational procedures comply with Company policies.

10. Other Duties

  • Perform any other duties assigned by Management related to catering operations and customer service.

  • Number of catering bookings secured.
  • Catering sales revenue achieved.
  • Customer satisfaction ratings.
  • Timely preparation of event documentation.
  • Accuracy of event orders and schedules.
  • On-time event setup and execution.
  • Customer complaint resolution time.
  • Repeat customer bookings.
  • Outstanding payment collection rate.
  • Compliance with Company SOPs and operational standards.

Qualifications

  • Diploma or Bachelor's Degree in Hospitality Management, Business Administration, Event Management, Marketing, or a related field.
  • Minimum 2–3 years of experience in catering, hospitality, event coordination, or customer service.
  • Experience in restaurant or catering operations is preferred.

Working Conditions

  • Standard office working hours, with flexibility to work evenings, weekends, and public holidays depending on catering event schedules.
  • Required to travel to event venues, restaurant outlets, and customer locations when necessary.
  • May be required to supervise catering events outside normal office hours.

Pay: RM2,000.00 - RM3,000.00 per month
