About the role

We are seeking an experienced Executive Assistant & Business Operation Coordinator to join The GBA Healthcare Group. This is a full-time position based in Ocean Centre. You will play a vital role in supporting the executive leadership team whilst ensuring the seamless operation of business functions across our organisation. This position is fundamental to maintaining organisational efficiency and enabling senior management to focus on strategic initiatives that drive business growth and healthcare excellence.

What you'll be doing

  1. Providing comprehensive administrative support to senior executives, including schedule management, meeting coordination and travel arrangements

  2. Managing and prioritising correspondence, emails and documents whilst maintaining strict confidentiality

  3. Preparing meeting agendas, taking minutes and tracking action items to ensure accountability and follow-through

  4. Coordinating business operations across multiple departments and ensuring effective communication between teams

  5. Managing databases, records and filing systems whilst ensuring compliance with data protection policies

  6. Organising and coordinating company events, conferences and presentations

  7. Handling financial administration tasks such as expense claims, invoicing and budget tracking

  8. Liaising with internal and external stakeholders to facilitate smooth business operations

  9. Maintaining office standards and ensuring resources are available for operational efficiency

  10. Supporting the implementation of business processes and procedures improvements

What we're looking for

  1. 5-7 years of proven experience as an Executive Assistant, Personal Assistant or in a similar administrative role, preferably within a healthcare or professional services environment

  2. Exceptional organisational and time management skills with the ability to manage multiple priorities and deadlines simultaneously

  3. Outstanding written and verbal communication skills in English, with fluency in Cantonese and Mandarin as an advantage

  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM or administrative software systems

  5. Strong interpersonal skills with the ability to work effectively with senior executives and colleagues at all levels

  6. Discretion and professionalism, with the ability to handle confidential information with integrity

  7. Problem-solving aptitude with a proactive approach to identifying and resolving operational challenges

  8. Experience in business operations coordination, process improvement or similar functional areas

  9. Familiarity with healthcare industry practices and terminology is highly desirable

  10. Knowledge of Hong Kong employment law and corporate compliance would be advantageous
