Roles & Responsibilities:
Your role and responsibilities as a Customer Service Assistant include:
1. Customer Calibration Item Handling
· Receive outgoing calibration items from the laboratory after completion.
· Verify instrument details against the job sheet
· Ensure all customer instruments are complete with accessories before packing.
· Check instrument quantity, serial number, model number and condition prior to dispatch.
· Ensure customer property is handled carefully to prevent damage.
· Report any discrepancies, missing items or damages immediately to the supervisor.
· Maintain traceability of every outgoing instrument.
2. Physical Inspection
· Perform physical inspection of calibrated instruments before packing.
· Ensure calibration labels and stickers are correctly attached.
· Verify calibration certificates, reports and supporting documents are complete.
· Confirm accessories returned as it is
· Ensure instrument appearance is clean before shipment.
3. Packing & Preservation
· Select appropriate packing materials according to instrument type.
· Ensure instruments are properly protected using:
· Bubble wrap
· Foam
· Ensure packing complies with transportation and courier requirements.
· Prevent transit damage through proper packing methods.
· Label all packages correctly with:
o Customer details
o Delivery address
o Fragile labels
o Orientation labels
o Handling instructions
4. Courier Coordination
· Arrange courier collections.
· Track shipment status.
· Follow up on delayed deliveries.
· Escalate logistics issues promptly.
5. Documentation
· Prepare and verify all shipping documents including:
o Delivery Order (DO)
o Consignment Note
o Courier Waybill
o Packing List
o Calibration Certificate
· Ensure documentation accuracy before shipment.
6. Delivery Coordination
· Arrange deliveries within Shah Alam and surrounding areas.
· Coordinate deliveries between HQ and branches.
· Coordinate urgent customer collections.
· Communicate delivery schedules with internal departments.
7. Quality & Compliance
· Follow ISO 9001 and ISO/IEC 17025 procedures.
· Ensure outgoing items comply with internal quality procedures.
· Ensure compliance with company SOPs.
8. Operational Efficiency
· Support continuous improvement initiatives.
· Minimize packing errors.
· Reduce delivery delays.
9. Daily communication and coordination with:
· Customer Service Team
· Calibration Laboratory
· Logistics Team
· Courier Companies
· Branch Offices
· Sales Team
· Customers
Pay: RM1,800.00 - RM2,200.00 per month
Work Location: In person
