Community & Operations Manager (Paperwork SG)

Role Overview
This dual-role position supports both Paperwork SG’s coworking operations and community management as well as Paperspace Pte Ltd’s regional client services and administrative functions.
The role ensures smooth day-to-day operations, high tenant satisfaction, and compliance with corporate and government requirements across Singapore and regional markets.

Key Responsibilities
1. Operations & Facility Management
Oversee daily operations of the coworking space to ensure optimal functionality and tenant satisfaction
Manage tenant onboarding and offboarding processes, including coordination and system updates
Monitor and coordinate maintenance of facilities, including:
Air-conditioning systems
Lighting and electrical fixtures
Plumbing fixtures (e.g., faucets, water purifiers)
Ensure all common areas are maintained in a clean, safe, and operational condition
Manage pantry inventory, including procurement and replenishment of snacks and beverages
2. Community Engagement
Plan, coordinate, and execute tenant engagement initiatives
Monthly vendor showcases
Festive and national celebrations (e.g. National Day)
Foster a collaborative and engaging community environment
Liaise with vendors and partners for event execution and partnerships
3. Systems & Administration
Maintain and manage tenant and space data using OfficeRnD
Support CPF-related administrative processes via CPF EzPay
Prepare basic communication and marketing materials using Canva
Client Services Executive
Paperspace Pte Ltd
Key Responsibilities
1. Regional Administrative Support
Manage travel arrangements for regional employees (primarily Philippines-based staff), including:
Accommodation bookings
Per diem preparation and disbursement
Immigration and ICA documentation support
2. Corporate & Compliance Administration
Support CPF submission processes via CPF EzPay when required
Administer and manage Corppass access for local and foreign employees
Ensure proper documentation and compliance with regulatory requirements
3. Government & Procurement Platforms
Prepare, submit, and manage documentation across relevant platforms, including:
Vendors@Gov
GeBiz
Sesami
Ariba
BizFile
QuestNet
Support documentation and submissions related to Building and Construction Authority (BCA) requirements
Ensure timely and accurate handling of procurement and compliance-related processes
4. Stakeholder Coordination
Liaise with internal departments, vendors, and regulatory bodies
Support documentation and administrative coordination for bids, tenders, and project requirements
Required Skills & Competencies
Strong organisational and operational management skills
Experience in facilities coordination and vendor management
Knowledge of Singapore administrative and compliance systems (e.g. CPF, Corppass, BizFile)
Ability to manage multiple stakeholders across functions and regions
Proficiency in:
OfficeRnD
Microsoft Office (Word, Excel, PowerPoint)
Canva
CPF EzPay
Attention to detail and ability to manage multiple priorities effectively
