Job Description

Responsibilities

Position Summary

The Administrator provides administrative and documentation support to the Leasing Executive and Technical Executive. The role is responsible for maintaining records, preparing documentation, coordinating approvals, and ensuring timely processing of operational and technical matters.

Key Responsibilities

1. Management Office Administration

· Administer and maintain records relating to the Management Office operations.

· Prepare and issue building circulars, notices and administrative communications.

· Maintain service contracts, insurance policies, licenses and statutory records.

· Coordinate meetings and maintain minutes where required.

· Manage filing systems and document archives.

· Support annual audits and compliance exercises.

· Maintain vendor and contractor databases.

2. Document Control & Reporting

· Maintain both physical and electronic filing systems.

· Ensure proper document version control and archiving.

· Prepare weekly and monthly administrative reports (i.e. meeting minutes)

· Maintain the master register for payments, invoices and approval status

· Coordinate with Finance on payment processing and follow up on outstanding approvals

3. Leasing Administration Support

· Provide administrative support for tenancy documentation and maintain tenancy records

· Maintain lease expiry schedules and tenancy databases.

· Prepare and maintain tenant onboarding documentation and records.

4. Technical Administration Support

· Maintain records of quotations, work orders and maintenance reports.

· Maintain utility and statutory records.

· Receive and file contractor submissions

5. Finance & Procurement Administration

· Prepare, process and submit all PRs and payment requests.

· Process invoices and maintain payment records.

· Maintain master registers for invoices and payments.

· Monitor approval status and coordinate with Finance.

· Maintain contracts and recurring payments.

· Support budgeting and audits.

Pay: RM2,800.00 - RM3,200.00 per month
